REVS manages the full project lifecycle, including site assessment, electrical engineering, permitting, installation, and ongoing maintenance. Position Summary
Refuel EVs is seeking a detail-oriented EV Charging Project Administrator to own the administrative backbone of our electric-vehicle charging installations. This role keeps every project organized and on schedule from award through closeout — maintaining accurate records across Zoho and QuickBooks, tracking each installation through every milestone, and coordinating the electricians, vendors, utilities, inspectors, and customers who move projects forward. The ideal candidate is highly organized, communicative, and comfortable working across multiple software systems to ensure nothing falls through the cracks.
Key Responsibilities
Perform accurate, timely data entry across Zoho and QuickBooks, keeping all records and internal systems current.
Manage all project documentation from award through project closeout.
Track the status of every EV charging installation, including permits, equipment, scheduling, inspections, commissioning, and project completion.
Maintain accurate project records and ensure internal systems are always up to date.
Follow up with electricians, vendors, manufacturers, utilities, and inspectors to keep projects moving.
Coordinate customer communication by providing regular project updates and responding to questions.
Monitor all down charging stations, coordinate troubleshooting, and ensure issues are resolved promptly.
Schedule installations, inspections, commissioning appointments, and vendor visits.
Verify all required paperwork is complete before projects move to the next phase.
Escalate delays or roadblocks to management before they impact project timelines.
Ensure quality control by reviewing project documentation for accuracy and completeness.
Assist with reporting on project status, outstanding issues, and completion metrics.
Qualifications
2+ years in project coordination, administrative support, operations, or data entry (construction, electrical, energy, or field-services industry a plus).
Hands-on experience with Zoho (CRM/Projects) and QuickBooks, or the ability to learn both quickly.
Exceptional organizational skills and strong attention to detail.
Clear, professional written and verbal communication with customers, vendors, and trades.
Comfortable juggling multiple concurrent projects and deadlines.
Proficiency with spreadsheets, email, and general office/productivity software.
Proactive problem-solver who flags issues early and follows through to resolution.
Attention to detail and accuracy in data entry, record-keeping, and preparation of reports or client-facing materials.
Ability to work on-site in Houston, TX, and support field teams and operations as needed.
Experience in real estate, construction, electrical contracting, or related industries is beneficial.
What Success Looks Like
Within the first 90 days, this person will have every active project accurately reflected in Zoho and QuickBooks, a reliable tracking system for installation milestones, and consistent, proactive communication flowing to customers and management — so projects move smoothly from award to completion with no surprises.
Pay: $40,000.00 - $45,000.00 per year
