Role Overview

The Documentation Control & Technical Publications Specialist is responsible for managing, organizing, and maintaining all project and product documentation while ensuring accuracy, completeness, compliance, and traceability. The role also produces and maintains high-quality technical publications such as manuals, reports, and engineering documentation. This position supports engineering, quality, manufacturing, and project management teams to ensure that documentation standards are consistently applied across the organization.

Key Responsibilities

1. Documentation Control & Configuration

Establish, maintain, and enforce document control procedures, numbering schemes, templates, and approval workflows.
Manage the creation, revision, distribution, and archiving of controlled documents.
Ensure documentation complies with internal processes, customer requirements, and industry standards (ISO, EN, CMMI, etc.).
Control document baselines and ensure alignment with configuration management processes.
Track, log, and manage document reviews, approvals, transmittals, and release records.
2. Technical Publications

Develop, write, edit, and maintain technical publications such as:
User manuals
Installation and maintenance manuals
Training guides
Illustrated part catalogue
Operations documentation
Translate complex engineering and technical concepts into clear, accurate, user-friendly documentation.
Ensure all publications follow technical writing standards, formatting guidelines, and branding requirements.
Collaborate with subject-matter experts (SMEs) to gather, clarify, and validate technical information.
3. Cross-Functional Support

Support engineering teams with document formatting, structuring, and compliance checks.
Assist QA and project teams in preparing deliverables for audits, reviews, and customer submissions.
Manage documentation packages for design reviews, safety assessments, certifications, and customer tenders.
Coordinate document-related communication with suppliers, customers, and internal stakeholders.
4. Quality, Compliance & Governance

Ensure documentation aligns with regulatory and contractual requirements.
Perform quality checks on documents for:
Accuracy
Completeness
Consistency
Traceability
Maintain documentation standards, style guides, templates, and process instructions.
Support internal and external audits by providing controlled documentation and revision histories.
5. Continuous Improvement

Improve documentation processes, workflows, templates, and tools.
Propose enhancements for automation, searchability, accessibility, and efficiency.
Provide training to teams on document control procedures and technical writing best practices.
Required Skills & Competencies

Proven experience in document control, technical writing, or technical publications.
Strong understanding of document management systems (e.g., SharePoint, Confluence, Windchill, Teamcenter, DOORS, etc.).
Knowledge of document control standards (ISO 9001, EN standards, configuration management principles).
Ability to interpret engineering drawings, diagrams, schematics, and specifications.
Excellent technical writing skills with strong attention to detail.
Strong organizational, communication, and time-management skills.
Proficiency in MS Office, PDF tools, and publishing/authoring tools (FrameMaker, MadCap Flare, InDesign, etc. as applicable).
Experience with CMMI (Capability Maturity Model Integration) framework, process areas, and appraisal requirements.
Nice to Have

Experience in rail, aerospace, defense, or other regulated engineering industries.
Familiarity with technical illustration tools (Visio, Illustrator, CAD viewers).
Knowledge of configuration management (CM) processes and version control.
Experience producing documentation for safety-critical or compliance-driven environments.
Job Type: Full-time

Pay: $70,000.00-$100,000.00 per year
