Job Description

Under Developmental Services, this position coordinates travel, accommodations, clinic space, and logistical support for staff and contractors. It also supports community events in Sioux lookout and remote first nations as required. The Coordinator - Community and Clinic ensures travel is organized efficiently, cost-effectively, and in accordance with organizational policies and funding guidelines. The role requires strong organizational skills, attention to detail, confidentiality, and a commitment to providing respectful, culturally safe service.

The Coordinator - Community and Clinic serves as a key point of contact between Developmental Services staff, community members, airlines, accommodations, transportation providers, nursing stations, and schools

Coordinator - Community and Clinic is directly accountable to the Manager, Clinical, Developmental Services.

Annual Salary Range: $62,867 - $84,442

Position Type: Full-time Permanent

Qualifications:

Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).
Ability to communicate in one of the First Nations dialects in the Sioux Lookout Zone is an asset.
Bachelor’s degree in human services or equivalent education and minimum 2 years experience
Experience and understanding of Anishinaabe cultural issues, geographical realities and social conditions with the northern remote first nation communities
Knowledge of NIHB travel requirements and Jordan's Principle
Ability to work effectively with multiple teams with a knowledge of local resources in community
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Strong customer service and interpersonal abilities.
High level of accuracy and attention to detail.
Ability to prioritize multiple tasks in a fast-paced environment.
Ability to work independently with minimal supervision.
Problem-solving and conflict-resolution skills.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Understanding of confidentiality and privacy requirements.
Ability to perform the job on a regular basis
Roles and Responsibilities:

Travel Coordination
Arrange air and ground transportation.
Book accommodations
Book clinic space where applicable
Book clients where applicable
Schedule travel and provide support to Developmental Services staff attending and participating in community events.
Confirm itineraries and communicate travel details to travelers.
Manage cancellations, rescheduling, and emergency travel requests.
Coordinate medical travel in accordance with Non-Insured Health Benefits (NIHB) or other funding programs if applicable.
Administration

Maintain accurate travel records and documentation.
Complete purchase order requests and requests for quotes for charters and scheduled flights.
Obtain cost-effective travel options.
Maintain strict confidentiality regarding personal, medical, and financial information.
Comply with privacy legislation and organizational confidentiality policies.
On Call Rotation - availability outside regular business hours for urgent travel coordination may be required.
Travel to remote communities when required
Customer Service

Provide courteous, respectful service and support to traveling team and to community members.
Respond to inquiries promptly and professionally.
Resolve conflicts resulting from travel issues with airlines, accommodations, and clinic space efficiently
Build positive relationships with developmental services staff and community members.
Maintain professionalism, compassion, and discretion.
Communication

Liaise with airlines, charter services, accommodations, ground transportation providers, nursing stations and schools
Coordinate with departmental staff regarding travel requirements.
Keep supervisors informed of travel disruptions and emerging issues.
Any other duties assigned.
Working Conditions

Frequent interaction with Developmental Services staff and community members and nursing stations, schools in remote communities
Periods of high workload due to needing to pivot to a different community last minute or weather-related travel disruptions.
Extended computer use.
Requirements

Criminal Record Check (and Vulnerable Sector Check if required).
Valid Class G Driver's License (or provincial equivalent), if applicable.
