JOB SUMMARY:
Miami Country Day School has an immediate opening for an enthusiastic professional to fill the role of Coordinator, College and Academic Counseling. In this dynamic role, you'll be the operational backbone of the College Academic Counseling Office, supporting a team of six counselors, including the Director of College Academic Counseling, as they help students navigate their academic journey and college admissions process with confidence and clarity. The coordinator will also lead all aspects of standardized testing, from registration and scheduling to communication and execution.
JOB SUMMARY:
Lead planning, coordination, and execution of college events, campus visits, and testing.
Maintain student and parent information in platforms like SCOIR and College KickStart while ensuring accuracy across NCAA and Bright Futures systems.
Craft and coordinate communications across multiple channels to keep students, families, and admissions reps informed and engaged.
Manage the administration and logistics of the SAT, ACT, AP, PSAT, and Pre-ACT.
Provide administrative assistance to the Director of College Academic Counseling.
ESSENTIAL FUNCTIONS AND TASKS:
Manages planning, logistics, and execution of events. Collaborates and communicates with the Events Manager, Facilities, Security, and SAGE MARCOM as needed.
Coordinates executes communications plan with various constituencies, including students, parents, and college admissions representatives. Assists in the development of a strategic communications plan.
Collaborates with MCDS Marketing Communication team to maintain brand voice and visuals as well as ensuring college-related information on the MCDS website is current. Coordinates executes communications plan, while assisting in the development of a strategic communications plan.
Maintains student and parent data in the data management system (SCOIR) and works closely with Applications Data Solutions to maintain accuracy of student data. Assists with creation of data reports using SCOIR and College KickStart. Manages the office interface with Bright Futures and NCAA Initial Eligibility Center sites.
Serves as a liaison to ADS department, overseeing benchmark deadlines and serving as the primary point of contact for the team. Assist in the development and management of the timeline for deliverables from the ADS department.
Responsible for ordering all elements of scheduling, monitoring and executing the logistics of testing for SAT, ACT, AP, PSAT, PreACT, and other exams. Coordinates with the Business office on exam billing.
KNOWLEDGE, SKILLS, ABILITIES:
Associate’s Degree + 3 years of administrative experience (Bachelor’s preferred)
Experience with testing logistics and platforms like SCOIR, Naviance, or similar
Superb communication skills (written and verbal)
Confidence with tools like Microsoft Office Suite, Canva, Instagram, and YouTube
A service mindset and ability to juggle multiple priorities with grace under pressure
Strong organizational and time management abilities
A flexible spirit—ready to jump into evening or weekend events when needed
