Description

The Office of Indigenous Local & Global Health in the Cumming School of Medicine is currently seeking a Full-time Regular Community Engaged Learning Program Coordinator.

Reporting to the Manager, Social Accountability, Governance and Engagement, the Community Engaged Learning (CEL) Program Coordinator engages with community partners, students, staff and faculty to execute the activities of the Community Engaged Learning Program. Essential to this position is the ability to maintain relationships with diverse partners; deal with multiple activities and deadlines (multitasking and prioritization of tasks); have excellent communication skills to ensure program coordination and handle a high volume of work during peak periods. They will liaise with offices on campus and external agencies/organizations locally to achieve the goals of the Community Engaged Learning Program.

The days worked will be scheduled based on program needs. The incumbent may be asked to work an occasional evening or weekend to accommodate researchers and communities. Limited travel to community partner sites within the city and outside may also be requested occasionally.

Summary of Key Responsibilities (job functions include but are not limited to):

Communication and Relationships:

Coordinate community partner relationship building by initiating community partner contact, arranging meetings with program manager/director and community partner contacts and updating partner management documents with relevant information
Communicate with community partner contacts in a timely manner using diplomacy and tact, serving as a key contact for the Community Engaged Learning Program
Develop and update student-facing communications materials, to ensure UME students are provided with all necessary information regarding the CEL Program (via the UME Office)
Communicate and answer student inquiries in a timely and friendly manner
Collaborate and connect with internal teams and departments, community groups, organizations, and external agencies
Program Planning and Operations:

Plan, manage and organize the logistics of community partner presentations and educational activities, medical student placements, schedules, and overall program coordination
Act as the primary liaison with Undergraduate Medical Education Office in organizing and coordinating logistics for seamless delivery of CEL Program sessions and activities
Develop and implement program specific guidelines under the direction of leadership
Work with the Program Director and Program Manager to design activities that support student academic and development needs related to Community Engaged Learning
Support and advise on decisions related to program operations by directing administrative tasks and analyzing and solving complex problems
Create and maintain program documents and coordination tools to enhance program efficiency and effectiveness
Finance:

Manage community partner payments and ensure they are submitted and processed in a timely manner
Manage the submission of purchase orders and requisitions, enter expense claims and requisition invoices
Manage purchasing card payments and monthly reconciliations including monitoring corporate card transactions
Follow university expense guidelines to ensure that tasks are completed in an accurate and timely manner
Support the Manager, Business Operations ILGH to prepare and track program budget activity, providing timely financial information to the Program Director and Manager
Qualifications / Requirements:

Bachelor's degree in a relevant field is required
Minimum 5 years of work experience in a related field with experience working with complex networks and partnerships
Ability to build relationships to accomplish goals with diverse groups within and outside of the office
Program coordination skills, with the ability to manage multiple tasks, meet deadlines, and adapt to changing priorities
Skilled at developing data collection methods, tools, and processes to ensure accurate and consistent data
Demonstrate an ability to learn and to be self-directed
Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
Experience working in a large, dynamic team with proven personal effectiveness and productivity
Excellent interpersonal and communications skills
Ability to think critically and creatively under pressure while exercising good judgment and discretion
Demonstrated ability to be resourceful, creative, innovative, and flexible
The ability to work independently to tight timelines, maintain confidentiality and deal effectively with overlapping and changing deadlines
Displays a high level of professionalism in all aspects of their work
Advanced Computer skills including MS Office Suite (including Word, Outlook, PowerPoint, and Excel)
Knowledge of university policies and procedures associated with the portfolio supported is an asset
