Position Overview
We are seeking a high-performing Medical Assistant (MA) that is also experienced in Patient Coordination to join a tight-knit, entrepreneurial team performing outpatient uterine artery embolization (UAE) procedures in collaboration with OB/GYN practices. Responsibilities
This role will have dual responsabilities:
1. On procedure days the role will act as the procedure room circulator and will:
Open supplies before and during the procedure in conjunction with the scrub tech
Assist with all parts of procedure room workflow:
turnover, room setup, case start, room coordination, documentation
Support patient flow and ensure smooth operations across pre-op, procedure and post-op
2. On patient coordination day the role will act as patient coordinator and will:
Patient Communication & Support
Serve as the primary point of contact by answering inbound calls and responding to patient inquiries in a timely, professional, and empathetic manner
Guide patients through the care process, setting expectations and providing clear next steps
Build trust with patients by delivering a high-touch, personalized experience
Care Coordination
Schedule patient appointments, procedures, and follow-ups across multiple clinics and provider calendars
Coordinate and track patient-related tasks, including imaging, lab work, and referrals
Proactively follow up with patients to ensure completion of required pre- and post-procedure items
Administrative & Operational Support
Maintain accurate and up-to-date patient records in EMR systems
Ensure all required documentation is collected and completed prior to appointments or procedures
Support clinic operations by managing scheduling workflows and assisting with day-to-day administrative tasks
Case Details
Outpatient procedures performed in an office setting
Minimally invasive procedures on sedated patients with fluoro imaging
Patient flow includes pre-op checks, 1–2-hour procedure, and ~30 minutes in post-op recovery
Expect 2-6 cases per procedure day
Qualifications
High School diploma or graduation equivalent.
Certification/Registration as a Medical Assistant (e.g. CMA, AAMA, RMA, AMT, NAHP).
Experience working in a procedural setting strongly preferred
Ability to manage people and systems in a fast-evolving environment
Comfort with varied tasks: charting, vitals, patient communication, sterile supply handling, procedure room support
Strong sense of ownership and team mindset with a willingness to pitch-in wherever needed
