Location: Montreal (4 days/week in person)

We are looking for an Administrative Assistant who will be a key element in the smooth running of our operations.
The incumbent will provide administrative support to the President and the Executive Vice President and will work closely with the entire team by providing administrative support to sales and marketing activities.
Specific Responsibilities:
Coordination and document production
Editing, correcting and formatting various documents;
Prepare documents for internal and external meetings
Responsible for coordinating corporate meetings and distributing documents
Administrative aspect
Periodically update and distribute customer materials;
Update certain documents for compliance;
Take charge of phone calls, preparation and management of emails;
Update calendars and schedule meetings of the various teams;
Provide support to the teams: distribution of correspondence, scanning and printing of documents, other administrative tasks;
Revise, correct and layout various documents and presentations using Optimum Group standards;
Order office supplies and manage maintenance requests (neon lights, thermostat, water machines, etc.);
Manage parking and organize lunches when required
Participate in the social committee and collaborate in corporate and internal events (cocktails, summer activities, Christmas parties);
Develop the onboarding plan and prepare the workspace for new employé.es
Support to the sales, marketing and special projects team
Prepare and distribute web publications.
Assist the team in its projects and ensure the follow-up of certain files;
Participate in special projects as required.

Experience / Education
DEC in office automation or related training;
Proven experience in administrative support;
Proficiency in Teams, Zoom and the Office suite: Excel, Word, PowerPoint;
Excellent command of French, oral and written;
Working knowledge of English (occasional interactions with our unilingual English-speaking teams outside of Quebec).
