The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

Employee Status: Full-Time, Permanent, Salaried
Hours Per Week: 37.5

Salary Range: $70,000 - $75,000 annually

About the AMS

The Alma Mater Society (AMS), established as a formal constitution of UBC’s student organization in 1915, is UBC’s official student union and is the largest student union in Canada. Operating as an independent organization of UBC, the AMS advocates students’ interests and provides opportunities for their growth and advancement. The AMS represents over 56,000 undergraduate and graduate students and its priorities are determined by these members. In addition to offering services to students, the AMS is an advocate of students’ issues and ensures the needs of students are presented to the University administration and the provincial and federal governments. The AMS Nest is located on the traditional, ancestral and unceded land of the Musqueam people.

Every student at UBC is part of the AMS and the AMS is the manifestation of a shared student experience. Position Purpose:
This position assists the Senior Manager, Student Services with the management and administration of the AMS Student Services. The Student Services Manager oversees the daily operational needs of some of the AMS Services, in conjunction with the Coordinators of each Service. They also act as an emergency and direct staff support for complex cases. The Student Services Manager works with the Senior Manager, Student Services, Assistant Manager of Services, Executive Committee, AMS Council, and the aforementioned Services Coordinators in developing and executing a short and long-term vision for the AMS Services. The Student Services Manager is charged with the development of a detailed budget for the AMS Student Services departments they are responsible for, management of direct reports, and the upkeep of relationships with stakeholders, partners, and sponsors crucial to the continued success of the services. The Student Services Manager works closely with key stakeholders and direct reports to ensure that the AMS Services continue to offer accessible, relevant, and reliable services to the UBC community.

Duties and Responsibilities:
Assist the Senior Manager, Student Services with liaising between the AMS Executive and the AMS Student Services
Steward and implement the strategic plans for AMS Student Services
Hire, supervise, and support designated Services Coordinators (Peer Support, Advocacy)
Provide daily supervision for support services in Advocacy or Peer, including case management and casefile review. Play a direct and lead role in supporting complex cases in both Services.
Actively build and maintain relationships with campus and external stakeholders
Coordinate the orientation and transition of new Service Coordinators and Assistant Coordinators
Support Service teams with volunteer and hourly staff hiring and training.
Participate in and facilitate conflict resolution within the Services as required
Cover the management duty phone to support staff and volunteers with complex situations
Develop expertise in university policy and systems, as well as common challenges experienced by UBC students. Attend AMS Council meetings as necessary and support reports to council
Support the budgeting for the AMS Student Services department and oversee the utilization of the budget – authorizing reimbursements, keeping track of expenses and justifying overage/underage as required by Senior Manager, Student Services
Oversee the use and operation of the AMS Services offices and shared space
Conduct regular assessment of each designated services’ progress, usage, and service-user trends through data collection and reporting
Work within the AMS mission statement and values to operate a successful department
Other duties as required
Qualifications and Experience:
3-4 years' work experience in support services role including 2 years’ experience in service-based program management
Demonstrated front-line support skills working with vulnerable populations, including experience and expertise in mental health and crisis support
Undergraduate degree
Supervisory / managerial skills with volunteers and employees
Knowledge of the AMS Services and resources
Strong conflict resolution and problem-solving skills and experience
Demonstrate team building skills and experience
Strong project management skills
Budget management and implementation experience
Comfortable and flexible in the role of mediator, initiator, and problem solver
Strong communication skills and experiences
Excellent time management skills with the ability to manage multiple priorities
Training development, presentation and facilitation skills an asset
Strong sense of diplomacy
Excellent interpersonal skills with the ability to develop and maintain effective working relationships with internal and external stakeholders
Good oral and written communication skills
Passion for working with students and student government
