Job Description
Role Description The Senior Operations Executive is a full-time, on-site role based in Venjaramood, Thiruvananthapuram, responsible for overseeing and coordinating day-to-day operational activities across clinical and administrative departments. This role includes monitoring workflows, optimizing resource utilization, and ensuring adherence to institutional policies, regulatory requirements, and quality standards. The individual will collaborate with medical, administrative, and support staff to improve efficiency, resolve operational issues, and support strategic initiatives. Key responsibilities include tracking operational performance metrics, preparing reports for leadership, implementing process improvements, and supporting patient service and academic operations. The Senior Operations Executive will also assist in planning, scheduling, and coordinating interdepartmental activities to maintain smooth hospital and college operations.
Qualifications
• Oversee and support the smooth functioning of clinical and non-clinical departments, including outpatient services, inpatient units, emergency, and support services.
• Ensure efficient patient flow and coordinate with relevant departments to minimize bottlenecks and delays.
• Regularly assess and suggest measures to improve department-specific workflows to enhance service quality and operational efficiency.
• Manage and oversee the allocation and utilization of hospital resources, ensuring optimal use of medical and non-medical supplies.
• Coordinate with procurement and inventory teams for timely supply of equipment, consumables, and other essentials.
• Collaborate with the facilities management team to ensure the upkeep and functionality of hospital infrastructure.
• Work closely with department heads and supervisors to ensure adequate staffing levels and smooth department interactions.
• Mentor and support junior staff members within the department to enhance their understanding of operational protocols and improve their skills.
• Coordinate with human resources for workforce planning, scheduling, and resolving staffing issues.
• Implement initiatives having proper approvals from the reporting authority to improve patient experience, including reducing wait times, improving service delivery, and ensuring high standards of patient care.
• Address patient complaints or concerns, escalating issues as necessary to maintain patient satisfaction.
• Monitor adherence to patient safety protocols and continuously work on enhancing the patient experience.
• Ensure that hospital operations comply with healthcare regulations, accreditation standards (such as NABH), and other safety protocols.
• Support the quality assurance team in implementing and monitoring quality control measures.
• Prepare documentation and reports required for internal audits and accreditation renewals.
• Assist the Assistant/Deputy Manager in budget planning and financial forecasting for operational needs.
• Monitor and control department-specific operational expenses, identifying areas for cost optimization.
• Ensure timely and accurate billing for hospital services in coordination with the respective department.
• Work with the IT team to ensure proper implementation and functionality of hospital management systems (HMS) and other digital tools.
• Identify and implement process improvement initiatives to enhance efficiency, reduce costs, and improve service delivery.
• Participate in training sessions and workshops on new technologies and processes.
• Gather and analyze operational data to identify trends, performance metrics, and areas for improvement.
• Prepare reports for the Assistant/Deputy Manager and senior leadership on key operational metrics and progress of initiatives.
• Use data-driven insights to support decision-making and recommend operational adjustments.
• Maintain effective communication with internal departments and external stakeholders, ensuring alignment on operational goals and policies.
• Serve as a point of contact for various stakeholders, including vendors, regulatory bodies, and healthcare partners.
• Assist in organizing and documenting meetings, operational reviews, and follow-ups on action items.
• Suggest measures in the development of performance indicators leading to attainment of revenue growth of the organization.
