The Medical Record Retrieval Specialist is responsible for the retrieval of medical/non-medical records from various healthcare facilities, educational institutions, etc..
Essential Responsibilities/Accountabilities
• Call and establish the lines of communication with custodians of record based on order priority
• Make regular and persistent phone calls and/or other means of contact with each custodian to complete each order timely
• Escalate the level of communication (intensity) with custodian as record request approaches due date and send proper notices to each location to elicit production of records in accordance with procedure
• Enter request notes and updates into the computer system to document all conversations with custodians, all progress of orders, and all tracking of orders. (documented due diligence)
• Maintain an organized rotation of all work orders in possession to ensure orders are called according to priority (generally by due date)
• Meets or exceeds productivity and accuracy targets as established by management.
• Regular and reliable attendance is expected and required.
• Knowledge of HIPPA Rules and Regulations; along with state level nuances
• Maintain a professional dialogue with facility personnel and co-workers
• Ensure that the facilities from whom records are requested receive the highest level of customer service and care.
• Fulfills other functions and responsibilities as assigned by management.

• Some understanding of the internal processes of medical facilities and med-legal terminology
• Multi-tasking skills essential
Prior work experience in customer service, a call center, medical, legal, or insurance claims office
