We are looking for an organized and detail-oriented Class Schedule Coordinator to manage and optimize the class schedules for all our branches, ensuring smooth operations and effective resource management.
Job Overview:
The Class Schedule Coordinator will be responsible for organizing and managing the class schedules for multiple branches of the institute. This includes coordinating with faculty, students, and branch managers to ensure that classes run smoothly, without clashes, and meet the needs of both students and instructors. The role requires strong organizational, communication, and problem-solving skills to ensure that all schedules align with the institute’s goals and students' requirements.
Key Responsibilities:
Class Scheduling Coordination
Schedule Management: Design and implement class schedules for all branches, ensuring that classes are aligned with student needs, faculty availability, and the institute's curriculum.
Timetable Coordination: Coordinate with faculty to finalize teaching hours, batch timings, and make adjustments as needed to avoid class conflicts.
Resource Allocation: Ensure that classrooms, instructors, and necessary resources (materials, technology, etc.) are available and allocated appropriately for each class session.
Monitor Class Attendance: Track attendance and ensure that students are informed of any changes to the schedule.
Communication Collaboration
Faculty Coordination: Liaise with faculty members to confirm class schedules, address any changes, and handle requests related to class timings.
Student Coordination: Inform students about the finalized class schedules and any changes or cancellations. Provide them with updates through emails, SMS, or the institute’s app/portal.
Cross-Branch Collaboration: Collaborate with managers and staff across all branches to ensure consistent schedules are maintained and resources are shared efficiently.
Schedule Optimization
Conflict Resolution: Resolve any schedule conflicts or overlaps, making adjustments as necessary to meet student and instructor needs.
Efficiency Improvement: Continuously look for ways to optimize the scheduling process, reduce downtime, and ensure maximum utilization of faculty and classroom space.
Flexible Scheduling: Implement strategies for handling last-minute changes, such as rescheduling missed classes or accommodating extra sessions when required.
Administrative Support
Record Keeping: Maintain accurate records of all class schedules, changes, and cancellations.
Reporting: Prepare weekly/monthly reports on class attendance, schedule efficiency, and any issues encountered during the scheduling process.
Documentation: Keep track of documents such as class rosters, student feedback, and other relevant records.
Technology Utilization
Scheduling Software: Utilize scheduling software (like Google Calendar, Microsoft Outlook, or specialized scheduling tools) to manage and organize schedules.
Software Integration: Work with IT teams to ensure the class schedule is reflected on the institute's website, student portals, and mobile applications.
Skills and Qualifications:
Educational Qualification: A bachelor’s degree in any field; a degree in management, operations, or administration is a plus.
Experience: 1-2 years of experience in scheduling, operations management, or related fields (experience in an educational setting is preferred).
Organization Skills: Strong organizational and time-management skills with the ability to manage multiple schedules and prioritize tasks.
Attention to Detail: High attention to detail, ensuring that no class timings are missed or double-booked.
Communication Skills: Excellent written and verbal communication skills for liaising with faculty, students, and staff.
