Position Summary
The sales Coordinator role is responsible for the coordination of New and Used equipment sales, liaison between all internal and external vendors.
Specific Accountabilities
Process necessary paperwork associated with the sale of new & used equipment from the Sales representative, including quotes, worksheets, purchase orders, purchase contracts, PST forms, site surveys and maintenance surveys.
Order trucks in Toyota CRM (New Only)
Source Used Equipment for Sales representatives using ELC & BI Reports.
Prepare Quotes for Used Equipment using the Pricing Matrix.
Coordinate with service and parts department regarding work that needs to be performed on the truck to prepare for delivery to the customer.
Generate service work orders for PDI, LDI, installations required.
Order data tags in TMHU portal as required.
Prepare purchase orders as required.
Prepare packing slip/BOL for delivery of new equipment.
Send for authorization and release trucks for shipping.
Coordinate delivery of new units with cartage company and Sales representatives
Request SPRs, NPP incentives and TSDRs when required.
Prepare invoices for all equipment sold.
Check & code all sales-related vendor invoices.
Prepare lease and Internal applications for each sales order and forward it to the leasing company, correspond with leasing company on the status.
Order batteries, chargers, and attachments.
Upload all documents into CRM software.
Qualifications
Education & Work Experience
Post-Secondary or equivalent education and 3-5 years' experience in an administrative position.
Competencies and Skills
Strong planning, analytical and organizational skills
Proficient with MS Office, Excel, etc.
Ability to handle multiple tasks, process large volumes, work well under pressure
Customer service oriented
Detail oriented; maintain accurate records.
Effective interpersonal skills, able to establish cooperative working relationships.
