Job Description
Bruker Optics division is looking for a Sales and Service Administrator to support our business operation covering India, Bangladesh, Sri Lanka, Nepal, Bhutan. The position will be based in Mumbai, India
The successful candidate is expected to join a performance driven team to grow our business in the assigned territory.
The role involves close collaboration with our Regional sales, service, application, marketing team and channel partners. The successful candidate will assume the function of sales & Service administrator in order fulfillment, support tender bidding, handle local purchase, import & export and local purchase.
SPECIFIC DUTIES – Sales
• Provide full support to India Sales Team on order fulfillment including customer contract review, sales order creation, LoC review, delivery arrangement and billing through SAP and Sales Force system
• Candidate must have knowledge on all E-Tender / GEM procedures and uploading of quotes and communications for E-Tender requirements,
• Candidate must have good knowledge on Incoterms, Banking procedures like Checking LC, BG etc.
• Sales order creation in SAP, order checking and processing in close coordination with India and HQ, Germany order management team.
• Candidate must have knowledge to check the Bank Guarantee
• Communicate between customer & factory through phone/e-mail for sales order related matters
• Assist sales team for tender document preparation and submission
• Handle full set of import/export procedure for India.
• Collaborate closely with supporting team (Finance, HR, Logistics & Operations), engage in the SOP making for SAP operation procedure
• Arrange demo system shipment & customer sample shipment related issues etc.
• Handle local purchase PO generation and delivery follow up
• Assist Sales and Marcom team for event (workshop, seminar, conference) organization
SPECIFIC DUTIES – Service
This position has a strong willingness to support customers and is responsible to assist the India office in all activities for all Optics business areas. This will include all activities from a Backoffice point of view required to efficiently perform service tasks, improve customer satisfaction and grow service business. The service admin India will manage spare parts movement from and to the local warehouse to ensure full compliance of Bruker guidelines. Detailed accountibility of the spare parts movement to be maintained.
Key Duties and responsibilities (but not limited to):
• Work closely with the Service Mangers in preparing quotation for the aftermarket (spare parts, service contracts, consumables)
• Use of our Customer Relationship Management tools: maintain the database, keep accurate data about customer details, warranty and service contracts.
• Proactively submit AMC/CMC quotes to customers and work closely with finance for customer payments in time.
• Inventory management: Keep fully updated records of inventory, handling of spare parts out of local warehouse, track parts movement, conducts export control test and screening according company regulations. This work requires close cooperation with India finance team.
• Order spare parts and consumables from HQ, Germany and monitor timely delivery according requirements from customers as well as import/ export. This includes parts under warranty, under contract as well as billable parts.
• Send out invoices to customers in a timely manner in close cooperation with the finance team India.
• Installation support by procuring local Items based on specifications given by Sales department
