Job Description
Vibescapes is a homegrown boutique hospitality company managing resorts, villas and experiences across Maharashtra.
We’re looking for a Reservations & OTA Executive who can take ownership of the complete enquiry → follow-up → conversion → booking journey while actively managing our OTA channels and helping drive occupancy and revenue.
This is a hands-on commercial role for someone who understands that reservations is not just about responding to guests, but about converting enquiries, optimising OTAs, improving occupancy and maximising revenue.
What You’ll Be Responsible For
• Manage enquiries and reservations across WhatsApp, phone, website and OTAs.
• Convert enquiries into confirmed bookings through strong sales and follow-up.
• Manage Booking.com, Airbnb, MakeMyTrip, Agoda and other OTA extranets.
• Maintain accurate rates, availability, inventory, restrictions and promotions across OTAs.
• Manage reservations, inventory and rates through Djubo PMS & Channel Manager.
• Track enquiries, follow-ups and conversions through Zoho Bigin CRM.
• Handle guest calls and communication through Knowlarity Cloud Telephony.
• Follow up systematically on open and warm leads.
• Upsell rooms, villas, meals, experiences, events and other services.
• Monitor Occupancy, ADR, RevPAR, conversion rate, cancellation rate and booking pace.
• Identify low-occupancy dates and proactively work on strategies to generate bookings.
• Coordinate with property teams to ensure accurate reservation communication.
• Maintain accurate guest and booking records.
• Prepare regular reservations and OTA performance reports.
• Ensure rate and inventory parity across distribution channels.
What We’re Looking For
• 2–4 years of experience in hospitality reservations, OTA management, revenue management or hotel sales.
• Hands-on experience with Booking.com, Airbnb, MakeMyTrip, Agoda and other OTAs.
• Experience working with a PMS, Channel Manager and CRM.
• Experience with Djubo, Zoho Bigin and Knowlarity is highly preferred.
• Excellent written and spoken English.
• Strong organisational and attention-to-detail skills.
• Strong follow-up discipline.
• Commercially minded with an interest in sales, guest communication and revenue optimisation.
• Ability to manage multiple properties, enquiries and priorities simultaneously.
• Comfortable working weekends and public holidays.
Good to Have
• Experience managing boutique resorts, villas or leisure properties.
• Understanding of yield management, rate parity and OTA ranking.
• Experience managing multiple properties or a hospitality portfolio.
• Understanding of OTA promotions and visibility tools.
• Ability to improve occupancy without simply relying on discounts.
