Mississauga Secondary Academy is seeking a dedicated, detail-oriented, and passionate Administrative Assistant to assist our Guidance Department. This volunteer role provides valuable hands-on experience in a professional school environment, supporting the Guidance Department with academic and administrative needs while engaging with students, parents, and staff.
Location: 33 City Centre Drive, Suite 240, Mississauga, Ontario, L5B 2N5
Compensation: Volunteer (Unpaid)
Schedule: ~4-20 hours per week

This is an unpaid position but based off performance opportunities for pay will be available
Key Responsibilities:
Assist the Guidance Department with daily operations, including academic and administrative support.
Communicate regularly with students and parents via phone, email, and in-person appointments.
Coordinate with teachers, admissions officers, and financial staff to track student progress, assist with course selections, and support university/college applications.
Maintain accurate records by organizing student files and ensuring academic/financial documents are up to date.
Prepare and issue academic documents, including Ontario Provincial Report Cards and Ontario Student Transcripts.
Upload student marks to systems such as OUAC and OCAS.
Liaise with schools, colleges, and universities regarding applications, Ontario Student Record (OSR) transfers, and related processes.
Qualifications:
Completed Grade 12 Ontario Secondary School Diploma (OSSD) or equivalent.
Enrollment in a post-secondary institution (preferred).
Strong interpersonal skills with a kind, patient, and passionate approach.
Attention to detail and strong organizational skills.
Additional Skills:
Proficient in Microsoft Office Suite (Word, Teams, Outlook, etc.).
Strong oral and written communication skills.
Ability to multitask and prioritize effectively.
Familiarity with academic processes and administrative tasks is an asset.
Work Environment:
Ability to work in a professional, student-focused school setting, assisting the Guidance Department by maintaining accuracy, confidentiality, and excellent communication while supporting its day-to-day operations.
