Project Coordinator, Project Management Office
Job Description
This role, based within our Project Management Office team, plays a key part in supporting effective project delivery by maintaining strong project controls, coordinating project information and reporting, and ensuring data is accurate, up to date, and aligned with enterprise standards to enable informed decision-making across capital projects.
You will also contribute to embedding enterprise P3M frameworks, standards, tools, and best practices, helping to drive consistent, high-quality project management and reporting across the portfolio
Key areas of responsibility include:
Providing expert guidance on P3M frameworks, tools, templates, and documentation to support Project Managers.
Promoting and enabling effective use of PMO tools, frameworks, and standardised wording across project delivery and reporting.
Maintaining project controls and ensure all project information is complete, current, and aligned to enterprise requirements.
Supporting high-quality documentation and reporting, including business cases, funding requests, and formal project outputs.
Guiding Project Managers to produce accurate, consistent reporting and apply best-practice project management standards.
Capturing feedback from project delivery to support continuous improvement of PgMO frameworks and practices.
This role is based in Whenuapai with travel on a regular basis to other Auckland NZDF locations such as Devonport and Papakura. You will also need to be able to travel to Wellington and be away from your home base for a few days at a time. Please ensure you have no issues with the travel requirement for this role.
Once you have undergone training and are up to speed, flexible working arrangements may be considered.

To be successful in this position, you will bring the following skills and experience:
Demonstrated ability to support project delivery within structured project or programme environments, coordinating multiple workstreams and managing information across stakeholders and systems
Practical experience with project financial management, including forecasting, tracking, and reporting; exposure to larger or multi-year projects is advantageous
Proven capability in preparing clear, accurate project reporting and documentation to inform decision-making
Strong understanding of working with controlled information, maintaining data integrity, document control, and confidentiality standards
Highly proficient in the MS Office Suite (knowledge of PRINCE2 desirable)
Strong communication, relationship management and stakeholder engagement skills.
You will need to have a clean Class 1 driver's licence.
Experience in infrastructure, construction or property environments, or working within government or regulated settings, would be advantageous.
The salary for this role ranges from $77,141 to $89,820, inclusive of a 4% superannuation contribution. Appointments within this range are based on skills and experience.

You must be a New Zealand citizen or you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa.
At minimum, you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa, and you must be a citizen of and have lived in Australia, Canada, United Kingdom, United States of America or New Zealand continuously for the last ten (10) years.
You must have a ten (10) year background history that can be verified and assessed appropriately by the NZ Security Intelligence Service (NZSIS) to determine if you are suitable for a security clearance at this level.
