We are seeking a Portfolio Administrator to join the operations and client service team.
Role Overview
The Portfolio Administrator supports the firm’s client servicing and operational functions, with a primary focus on client transactions, account onboarding, and administrative execution. This role is ideal for an experienced operations professional looking to grow within a discretionary portfolio management firm.
Key Responsibilities
Client Transactions
Process client deposits, withdrawals, transfers, and account changes
Ensure transaction accuracy and timely execution
Coordinate with custodians and internal teams to resolve transaction-related issues
Client Onboarding
Prepare and process new account documentation
Coordinate onboarding packages, agreements, and regulatory forms
Ensure all documentation meets compliance requirements
Administrative Support
Maintain accurate client records
Support Portfolio Managers and senior administrators with day-to-day requests
Assist with reporting, statement preparation, and client documentation
Qualifications & Experience
Minimum 3 years of experience in investment operations, wealth management administration, or financial services
Experience processing transactions and onboarding accounts
Strong attention to detail and organizational skills
Ability to manage multiple priorities in a deadline-driven environment
Professional communication skills
The following will be considered an asset:
Familiarity with discretionary portfolio management platforms
Experience working with Canadian custodians (e.g. Fidelity Clearing Canada)
Post-secondary education in finance, business, or related field
