This is a full-time opportunity for a Personal Assistant supporting a Financial Advisor (CFP, AIC, CIRO) and Tax Preparer, based in Calgary, AB, with opportunities to support other team members as the practice grows. A busy and growing financial services practice is seeking a highly organized, proactive Personal Assistant who thrives in a fast‑paced environment and enjoys a mix of administrative and client‑focused work. This position requires someone who can manage tasks with professionalism, discretion, and strong attention to detail, while working primarily from a closed‑office environment.
In this role, you will help keep daily operations running smoothly — coordinating schedules, managing client communication, preparing documentation, and supporting both financial planning and tax‑season workflows. The position also involves travel between multiple office locations as needed to support the advisor and broader team. As the practice continues to expand, you will have opportunities to collaborate with additional team members and contribute to broader operational initiatives.
Key Responsibilities
Administrative & Personal Support
Manage calendars, appointments, and scheduling for the EA/CFP
Organize emails, documents, and digital files, including scanning
Prepare correspondence, reports, and meeting materials
Handle personal errands and tasks as needed
Maintain confidentiality and handle sensitive information with care
Client & Office Support
Serve as a first point of contact for clients
Manage client onboarding, document requests, and follow‑ups
Track deadlines, deliverables, and compliance requirements
Assist with CRM updates and workflow management
Tax & Financial Planning Assistance
(Experience helpful but not required if willing to learn)
Organize and prepare client tax documents
Assist with data entry for tax preparation software
Support financial planning tasks such as gathering statements, updating spreadsheets, and preparing plan summaries
Help maintain compliance files and documentation
Qualifications
Experience supporting a financial professional (EA, CPA, CFP, tax preparer, or similar) is a strong asset
Excellent organizational and time‑management skills
Typical office hours range from Monday to Thursday 9:00AM – 8:00PM, Friday & Saturday * – 5.
Strong written and verbal communication
High attention to detail and accuracy
Ability to work independently and anticipate needs
Proven experience coordinating Travel Arrangements, including booking accommodations, transportation, and itineraries
Proficiency with office software (Microsoft 365, Google Workspace, CRM tools)
Comfort working with confidential financial information
Positive, professional, and client‑focused attitude
Ability to work independently and adapt in a home base work environment
Preferred Experience
Familiarity with tax preparation processes or software (e.g., Profile, QuickBooks etc.)
Experience in a financial planning or accounting office (Conquest, Y-Charts)
Knowledge of basic bookkeeping or financial terminology

Pay: $21.50-$32.50 per hour
