Job Title: Operations Executive

About Us
Vilasini Mechatronics is engaged in the supply and integration of high-reliability electronic and electromechanical components to government, defense, and R&D sectors. We actively participate in government e-tendering processes and manage complete project fulfillment from bidding to dispatch and payment realization.
Role Overview
We are looking for a dedicated Operations Executive to manage day-to-day operational activities including government e-tendering, dispatch coordination, logistics tracking, e-way bill generation, laser marking coordination, and payment follow-ups.
The ideal candidate should be organized, tech-savvy, and capable of handling multiple administrative functions independently.
Key ResponsibilitiesTendering & Documentation
• Manage and submit bids on GeM, eProcurement, and other government portals
• Prepare and upload technical & commercial documents as per tender requirements
• Maintain tender tracker and follow bid timelines
• Assist in pre-bid queries
Dispatch & Logistics
• Coordinate dispatch of materials and ensure accurate packing lists and invoices
• Generate E-Way Bills and maintain dispatch records
• Track shipments and ensure timely delivery
• Maintain stock and dispatch registers
Payments & Coordination
• Follow up with clients for payment collection and acknowledgments
• Coordinate with vendors, courier partners, and internal teams
Miscellaneous Operations
• Coordinate laser marking or labeling of components
• Maintain proper filing and digital documentation
• Support management in day-to-day operational tasks
Qualifications & Skills
• Graduate (B.Com / BBA / B.Sc / Diploma preferred)
• 1–3 years of experience in operations / logistics / tendering (preferred)
• Proficiency in MS Office (Excel, Word, PDF tools)
• Familiarity with government portals (GeM, eProcure, etc.)
• Basic understanding of GST, E-Way Bills, and invoicing
• Strong communication and time-management skills
• Ability to work independently and multitask
