Busy, well established holistic health center in Westlake Village specializing in integrative wellness. We serve clients seeking natural, personalized approaches to health and healing in a calm, professional environment.

About the Role

We're seeking an Office Manager/Administrator to serve as the operational backbone of our single-practitioner office.

You will manage all client interactions, administrative operations, and business functions.

The role requires sound judgment, attention to detail, genuine care for clients, and a proactive attitude. You will manage all daily operations including scheduling, billing, inventory management, client communications as well as liaison with the owner.

This role is ideal for someone who takes pride in creating smooth operations, thrives with responsibility, is self-motivated and wants to be an integral part of a small business.

Core Responsibilities

Schedule appointments. Coordinate changes and cancellations. Manage patient waitlist
Process payments and maintain accurate financial records using QuickBooks Online
Manage all client communications via phone, email, and in-person
Order and track a large product inventory
Maintain an organized, welcoming reception area
Support the doctor with administrative needs throughout the day
Work with the social media manager for posts and newsletters
Work with the bookkeeper to oversee back-office functions as well as payroll
Handle all front office operations independently with minimal supervision
Required Qualifications

Proficiency in QuickBooks Online (non-negotiable)
Strong working knowledge of Google Workspace and Microsoft Office. Proficiency with social media platforms is a plus
Available M – F (hours range from 9:30 – 6:30)
Professional and organized with the ability to multitask
