Office Assistant / Administrative Assistant

Ever wonder about those ships you see constantly anchored in English Bay? Well…PNW assists the Captain and crew, with all aspects of their visit to the Port of Vancouver related to loading cargo. PNW is one of the most trusted names on the West Coast, in providing ship and cargo services to many domestic and international operators in Vancouver, Prince Rupert and on Vancouver Island.

We are creating a junior position to support our team.

· Compensation: starting with $50,000 per year – reviewed after +0 days and then annually

· Employment type: permanent salaried staff (based on an in-office 40hr work week)

· Location: North Vancouver (immediately adjacent to the Seabus terminal)

· Competitive benefits package, two weeks’ vacation for the first year and increase to 4 weeks after the second year; 5%-of-salary RRSP contribution

The right candidate for this position is:

· Highly organized with attention to detail

· Punctual, responsible and reliable

· Proficient in MS Office (mainly Excel, also Outlook and Word)

· Able to work without supervision in a fast-paced environment, multitask and enjoy a diverse set of responsibilities

· Good written and verbal communication skills

PREVIOUS WORK EXPERIENCE IN AN OFFICE ENVIRONMENT IS A MUST

No other special skills or experience are required for this position. We’ll train the right person in the daily office operations.

The main duties/responsibilities are:

· Keep track of incoming and departing vessels, update databases and in a timely manner

· Create electronic and paper files for incoming vessels

· Accurate data entry and issuance of documentation for reporting of vessels to CBSA (pre-arrival documentation, inward and outward clearances, bills of lading)

· Answer the phones , redirect calls, take messages

· Sort emails (approx. 600 emails per day)

· Send/receive courier packages

· Photocopy, file, shred documents as necessary

· Enter invoices in QuickBooks

· Other administrative tasks (handle incoming mail, order office supplies, etc.)
