Job Description

Office & Operations Administrator

We are looking for a highly organised, reliable and proactive Office & Operations Administrator to become an important part of our small team.

This is a varied and responsible role where no two days are the same. You will work closely with the Director to ensure jobs run smoothly from enquiry through to completion.

Location: Totteridge, North London (N20)

Hours: Monday to Friday, 9.30am – 4.30pm (35 hours per week)

Salary: £27,000 per annum (£519.23 paid weekly)

Holiday: 4 weeks' paid holiday plus statutory bank holidays

This is not a basic administration role.

We are looking for someone who enjoys responsibility, is exceptionally organised and can confidently manage multiple tasks at the same time. Main Responsibilities

Answering incoming telephone calls and responding to emails.
Managing enquiries through a variety of online client portals and web-based systems.
Preparing detailed quotations for customers.
Ordering glass, materials and specialist glazing hardware.
Sourcing products including handles, restrictors and other specialist components.
Obtaining comparison quotations from suppliers.
Liaising closely with the Director regarding current and upcoming jobs.
Scheduling work and allocating jobs to our glaziers.
Keeping customers updated on the progress of their jobs.
Ordering cranes, cherry pickers and other access equipment.
Arranging permits where required.
Preparing Risk Assessments and Method Statements (RAMS).
Organising site inductions and client requirements for our glaziers.
Preparing completed job paperwork ready for invoicing.
General office administration and maintaining accurate job records.
The Successful Applicant Will:

Have previous experience in a busy administration, operations or office environment (experience within the construction or building industry would be an advantage).
Be confident using Microsoft Office, email and a variety of online client portals.
Have excellent written and spoken English.
Be highly organised with excellent time management skills.
Have exceptional attention to detail and take pride in checking their work thoroughly.
Be confident communicating professionally with customers, suppliers and colleagues.
Be able to work independently, use initiative and solve problems.
Remain calm, organised and efficient when working to deadlines.
Accuracy is Essential

We deal with high-value glazing projects, specialist materials and safety documentation, so accuracy is absolutely essential. We are looking for someone who takes pride in producing work of a consistently high standard, checks their work carefully and enjoys getting things right the first time.

There will be times when you are working on your own, so you should be comfortable working independently and managing your own workload.
