Office Administrator (arts school)
Job Description
A dynamic and expanding performing arts school in the Greater Toronto Area is seeking a highly organized and proactive Office Administrator to manage front desk operations and support internal administrative functions.
This role offers a balance of customer interaction and operational coordination, including overseeing scheduling, maintaining accurate student records, and assisting with the smooth running of daily studio activities. The ideal candidate will work closely with instructors, students, and families to create a positive, efficient, and well-organized environment.
This is a fully on-site position based in Markham, Ontario. Applicants must reside within the Greater Toronto Area and be legally authorized to work in Canada. Please note that immigration sponsorship is not available.
PRIMARY RESPONSIBILITIES
Administer student registrations, schedule adjustments, and general service requests
Accurately update and manage student data and timetables using internal systems
Assist in planning and maintaining class schedules and overall program structure
Prepare and manage administrative documents and tracking tools using Microsoft Excel
Provide logistical support for exams, performances, competitions, and studio events
Communicate program details and assist families in selecting appropriate classes
Contribute to the efficient day-to-day operation of the studio through administrative support
Ensure both digital and physical filing systems remain organized and up to date
Requirements
8+ years of office administration or similar experience
Strong organizational and time-management skills
Professional communication skills when working with parents and students
proficiency in using office software such as Microsoft Office Suite, including Excel
Ability to learn and use administrative systems and scheduling software
Ability to manage multiple tasks in a busy school environment
Fluent English and Mandarin required (Cantonese is an asset)
Batchelor's degree
PREFERRED (NOT REQUIRED)
Experience working in a school, education, or customer service environment
Experience with sales, marketing, photo editing, video editing
Interest in dance, arts, or education
