Legal Secretary
Job Description
Porter Scott is seeking an experienced Legal Secretary to support assigned attorneys and partners in a fast-paced litigation environment. This role is critical to the firm’s daily operations and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while meeting strict deadlines.
Key Responsibilities
Manage attorney calendars, including scheduling meetings, depositions, mediations, hearings, client conferences, and travel
Track court deadlines, appearances, and statutory limitations to ensure compliance
Prepare, format, proofread, finalize, and file legal documents, including pleadings, motions, briefs, correspondence, and court forms
Ensure all filings comply with state and federal court rules, formatting requirements, and confidentiality standards
Handle electronic filing and service with courts and parties
Maintain organized electronic case files in NetDocuments, including accurate labeling and flowsheets
Monitor court dockets and save incoming filings and client materials
Serve as a primary point of contact for clients, court personnel, and legal professionals
Coordinate logistics for meetings, court appearances, and travel
Assist with new matter intake, file opening, calendaring, billing coordination, and expense processing when assigned to a partner
Route billing statements and invoices for timely processing
Perform other duties as assigned
Qualifications
Strong organizational and time-management skills with the ability to manage competing deadlines
Proficiency in Microsoft Office, Adobe Acrobat, NetDocuments, DocuSign, and virtual meeting platforms
Working knowledge of state and federal court rules and filing procedures
Excellent written and verbal communication skills
High attention to detail and ability to maintain confidentiality
Ability to work collaboratively in a team-oriented environment
