We are currently seeking an experienced Legal Assistant / Conveyancer with a strong background in real estate law to join our in-office team. Job Overview
The Legal Assistant will support the legal team through a combination of real estate conveyancing, corporate support, legal drafting, research, and administrative responsibilities. This role is integral to ensuring smooth day-to-day operations, efficient file management, and high-quality client service.
Key Responsibilities
Administer and manage commercial and residential real estate conveyancing files from opening to closing
Assist with corporate matters, including incorporations, amalgamations, annual reports, resolutions, and record keeping
Prepare and review purchase and sale contracts, deposits, retainers, invoices, and related documentation
Prepare electronic filing applications
Assist with real estate and land development documentation
Maintain organized electronic and physical filing systems for active and closed files
Perform accurate data entry to ensure up-to-date and complete case records
Ensure all documentation complies with legal standards and firm policies
Administrative & Client Support
Manage day-to-day office and administrative matters, including answering phones and emails
Schedule appointments and maintain calendars
Communicate professionally with clients, realtors, lenders, municipalities, financial institutions, and other stakeholders
Assist with record keeping of deposits, preparing cheques, and completing bank runs
Support project management by tracking deadlines and monitoring file progress
Conduct interviews and gather information relevant to client files and ongoing matters
Education & Qualifications
Legal Assistant or Paralegal diploma (or equivalent experience)
Minimum 3 years experience as a Legal Assistant, with a strong focus on real estate conveyancing / corporate
Experience in corporate law is an asset
Strong written and verbal communication skills
Excellent proofreading, drafting, and organizational skills
Ability to manage multiple deadlines and competing priorities in a fast-paced environment
High attention to detail, sound judgment, and professionalism
Confident, self-directed worker who thrives in a collaborative team environment
