Legal Administrative Assistant
Job Description
Key Responsibilities
Open, scan, and file incoming post; print, envelope, and frank outgoing post.
Open new electronic files on the firm’s system and manage client documents using spreadsheets and macros.
Upload new client instructions and documents to files, inputting due dates into the database.
Provide administrative support to fee earners working remotely, including printing and filing.
Prepare and file legal documents with courts, ensuring accuracy and proper referencing.
Answer incoming calls, direct them appropriately, and take messages when necessary.
Draft and send basic letters to clients; forward and file emails from the generic inbox.
Chase clients for missing information and documents to maintain efficient file progress.
Required Qualifications & Skills
Strong attention to detail and organisational skills.
Excellent verbal and written communication skills, with a professional telephone manner.
Competent with Microsoft Office (Word, Excel, Outlook).
Ability to prioritise tasks, use initiative, and work effectively under pressure.
Problem-solving skills and a proactive “can-do” attitude.
Strong team player, but equally comfortable working independently.
Preferred Qualifications
Previous experience in a legal administrative or support role.
Familiarity with legal filing systems, document management, and case databases.
