We are seeking a dedicated Full-Time Medical Office Assistant who is fluent in Mandarin to join our healthcare team. This role involves providing exceptional front desk support, managing electronic medical records, and ensuring smooth daily operations within a busy medical practice. The ideal candidate will have strong administrative skills, experience with medical office software, and the ability to communicate effectively with Mandarin-speaking patients. Roles and Responsibilities
Lead by example at the front desk, setting expectations for professionalism and patient service
Adapt to operational, scheduling, and workflow changes while maintaining front-desk standards and patient service expectations
Greet and check in patients, providing a professional and welcoming first point of contact
Answer phone calls, schedule appointments, and respond to patient inquiries
Maintain and update patient records using electronic medical records (EMR) systems
Assist with insurance verification and basic billing processes
Coordinate referrals and follow-up appointments
Manage front desk operations, including filing, faxing, and scanning documents
Provide administrative support to physicians, nurses, and clinic staff
Deliver consistent, respectful customer service to patients and colleagues
Maintain a calm, organized approach during peak clinic hours
Qualifications
Fluency in Mandarin is required; proficiency in English is essential
Previous experience working in a medical office setting
Comfortable using multi-line phone systems
Experience with electronic medical records (EMR); MedAccess is an asset
Strong organizational skills with attention to detail
Demonstrated ability to adapt to change, implement new processes, and support team transitions in a clinical environment
Clear verbal and written communication skills
Ability to manage multiple tasks in a fast-paced clinical environment
Familiarity with medical terminology and clinic procedures
Reliable, energetic, and hardworking
Professional, friendly, and respectful manner with patients and staff
Formal MOA training or certification is preferred
