Qualifications
High School diploma or GED with a minimum of 2 years of administrative work experience in a medical or behavioral health clinic
Must have the ability to commute in person to Dallas, Texas
Strong customer service skills
Strong time management
Strong oral and written communication skills
Strong Computer skills
Proficient in MS Office (Word, Excel, and PowerPoint)
Good at problem solving
Culturally knowledgeable
Ability to work with diverse, multicultural clients
Ability to work independently and collaboratively as a team member
Knowledge of clinical operations and procedures
Responsibilities
Under the supervision of the Office Manager, the full-time (32 hours a week) Front Office Administrative Assistant will provide daily administrative duties to support the operations of Legacy Cares, formally known as Legacy Counseling Center
Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions
Manage phone system and voice mailboxes
Maintain RW Birthday & 6 Month Audits
Monitor and assist in managing the flow of the front office/billing office
Determine payor source & financial responsibility for all clients
Scanning of New Client Referral Packets and miscellaneous Client Paperwork into TherapyNotes
Clerical support for the Office Manager, Lead Therapist, and Executive Director as needed
Responsible for greeting clients, answering phones, and assisting clients with administrative needs
Completion of Initial Phone Intakes
Assist clients with intake, collect appropriate documentation, and make sure the packet is filled out with signatures and date
Data Entry of client data into TherapyNotes
Ensure all documentation is present in the client’s file
Order office supplies and maintain office forms
Process Checks for Deposit (Insurance, Donors, 3rd Party)
Maintain office cleanliness, including waiting room, workroom, supply closet and restroom
Provide miscellaneous job-related duties as assigned
