Position Overview:
Reporting to the Team Lead, Child Care Administration, the incumbent collaborates closely with the Managers of Early Learning Child Care, General Managers and Inclusion Program Managers on all childcare program related matters.
In this position, you will be responsible for processing childcare registrations, maintaining and updating server data, customer relations, and preparing financial and statistical reports as required. This position also involves handling subsidy account reconciliation, ensuring proper record storage, and maintaining confidentiality and integrity due to the sensitive nature of information.
Effective communication with childcare management, finance teams, parents, and municipalities are essential, along with active participation in Administration team meetings. Speed, accuracy, diplomacy, and confidentiality are critical skills for success in this position.

What You’ll Do:
Deliver high-quality customer service for families - answer phone/emails, direct client to appropriate person, process registrations, send out confirmation letters, process change of status, monitor parent and staff feedback regarding enrolment and/or payment processes.
Create and send out pivotal attendance sheets to supervisors and check for accuracy\
Complete month end reports - enrollment statistics, attendance, etc.
Input new registrations, withdrawals, changes and maintain waitlists
Process program applications (SACC, PA Days Breaks, Kinder Connections)
Prepare and send payment schedules/invoices to parents and third-party organizations
Audit registration packages for accuracy and all required information
Generate accurate reports to reflect operations.
What You’ll Bring:
Two-year post-secondary education in business or office administration and/or equivalent work experience.
Strong computer skills and proficient in Microsoft Office
Excellent written and verbal communication skills, with strong attention to detail, ensuring accuracy in all written communication and financial documentation.
Effective time management and highly organized to manage the responsibility of three-four projects and working in a team environment
Results oriented and self-motivated.
Proven ability to work effectively in a fast-paced environment that is customer service focused
Flexible, adaptable, could manage multiple tasks and deadlines
Must provide a current criminal record check as per the Association’s policy
A Major Asset if:
You have experience working with a database or CRM (Salesforce, CLASS, etc.)
You have knowledge of the licensed childcare environment
