Investment Advisor Assistant

About the Role
We are seeking a highly organized and meticulous Investment Advisor Assistant to join our growing wealth management team. In this role, you will provide vital operational and analytical support to senior Investment Advisors, ensuring that every client interaction, portfolio record, and regulatory document is handled with the utmost precision and care. You will serve as the backbone of daily advisory operations — your accuracy directly impacts client trust and regulatory compliance.
Key Responsibilities
• Meticulous record-keeping — Maintain and audit client portfolios, transaction logs, and account documentation with zero-error tolerance. [Detail-Critical]
• Data verification — Cross-check trade confirmations, account statements, and compliance reports against source data to catch and correct discrepancies before they escalate. [Detail-Critical]
• Client communication support — Draft and proofread correspondence, meeting summaries, and financial reports ensuring factual accuracy and professional presentation.
Regulatory compliance — Prepare KYC, AML, and suitability documentation, verifying that all fields are complete, consistent, and up to date. [Detail-Critical]
• Research & analysis — Compile investment summaries, market data, and due-diligence packages; flag inconsistencies or outliers for advisor review.
Scheduling & coordination — Manage advisor calendars, client meeting logistics, and follow-up action items with precision.
Systems management — Enter and update data across CRM, portfolio management, and back-office platforms; perform routine audits to ensure data integrity. [Detail-Critical]
What We’re Looking For
REQUIRED
Post-secondary education in Finance, Business, Economics, or a related field
1–3 years of experience in a financial services or administrative support role
Demonstrable attention to detail — ability to process high volumes of data with consistent accuracy
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with portfolio or CRM software is an asset
Excellent written and verbal communication skills
Solid understanding of financial products, investment principles, and regulatory requirements (IIROC/CIRO an asset)
HIGHLY VALUED
CSC (Canadian Securities Course) designation or currently enrolled
Experience identifying and resolving data discrepancies in a time-sensitive environment
Proven track record of managing competing priorities without sacrificing accuracy
Comfort working with compliance-sensitive documents and confidential client information
