Job Summary:
We are seeking a highly organized, proactive, and resourceful Executive Assistant (PA) to provide administrative support to our executive team. The ideal candidate will be a confident multitasker, with exceptional communication skills and a keen attention to detail. As the Executive Assistant, you will handle a wide range of administrative tasks to ensure smooth operations and help executives stay focused on their strategic priorities.
Key Responsibilities:
Administrative Support:
Manage and maintain executives’ schedules, appointments, and travel arrangements.
Screen and prioritize emails, phone calls, and other correspondence.
Prepare and organize documents, reports, and presentations.
Act as a liaison between the executive and internal/external stakeholders.
Meeting and Event Coordination:
Schedule and coordinate meetings, conferences, and events.
Prepare agendas and materials for meetings and take minutes when necessary.
Ensure all logistics for events, meetings, and conferences are organized.
Communication and Correspondence:
Handle confidential and sensitive information with discretion and professionalism.
Draft and proofread emails, letters, and other business correspondence.
Respond to inquiries on behalf of the executive when appropriate.
Task Management:
Track and follow up on tasks and deadlines to ensure timely execution of responsibilities.
Provide project support as needed, collaborating with different departments or external partners.
Manage and prioritize administrative tasks to ensure smooth day-to-day operations.
Travel and Expense Management:
Organize complex travel itineraries, including flights, accommodation, transportation, and itineraries.
Assist with managing and reconciling expenses, including submitting reports and tracking receipts.
Other Duties:
Handle personal tasks for executives as required.
Maintain filing systems and office supplies.
Perform other duties as assigned by the executive team.
Requirements:
Education:
A Bachelor’s degree or equivalent experience is preferred.
Experience:
Minimum of 2 years of experience in an executive assistant or similar role.
Proven experience in supporting C-suite executives or senior leadership.
Skills and Competencies:
Strong organizational and multitasking skills with the ability to prioritize and manage competing demands.
Excellent written and verbal communication skills.
High level of confidentiality, integrity, and professionalism.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools (e.g., Google Workspace, project management software).
Strong attention to detail and problem-solving skills.
Ability to work independently and manage time effectively.
Excellent interpersonal skills and ability to interact with a wide range of individuals in a professional manner.
