Job Description
The Company is seeking an experienced Executive Administrative Assistant to provide high-level administrative and operational support to senior leadership. This role is responsible for managing executive calendars, coordinating travel and logistics, supporting leadership events, overseeing administrative operations, and ensuring effective communication across business functions. The ideal candidate will be highly organized, proactive, capable of handling sensitive information with discretion, and able to thrive in a fast-paced environment while delivering exceptional executive support.
Responsibilities
• Provide strategic calendar management for senior leaders, ensuring alignment with business priorities and optimizing executive time.
• Manage complex meeting schedules, executive engagements, and leadership commitments across multiple stakeholders.
• Coordinate domestic and international travel arrangements, including itineraries, accommodations, logistics, and executive travel support.
• Drive Rhythm of Business (ROB) activities, including leadership meetings, town halls, business reviews, offsite meetings, and executive engagements.
• Coordinate executive visits, customer engagements, Employee Briefing Center (EBC) sessions, and leadership events.
• Partner with Finance teams on budget planning, expense management, purchase requests, and spending governance processes.
• Support organizational planning activities such as onboarding, team events, space planning, and resource coordination.
• Facilitate communication and collaboration across leadership teams, business partners, and support organizations.
• Maintain the highest level of confidentiality, professionalism, and compliance when handling sensitive business information.
• Track action items, key decisions, and follow-up activities arising from leadership meetings and strategic programs.
• Drive process improvements and operational efficiencies across executive office activities and administrative operations.
Education Requirements
• High school diploma, GED, or equivalent required.
Experience Requirements
• 5 to 7 years of administrative support experience.
• Experience supporting senior executives, General Managers, Directors, or equivalent leadership roles.
• Proven experience managing complex calendars, executive travel, leadership meetings, and events.
• Experience managing budgets, expenses, and administrative operations.
• Experience working independently in a fast-paced and dynamic environment.
