Role Description
We are looking for a proactive and well-connected Entertainment Planner to manage artists and entertainers for events, weddings, and corporate shows. The role involves artist coordination, booking management, negotiations, scheduling, technical coordination TBL, tech riders, client servicing, and ensuring smooth execution before, during, and after events.
Key Responsibilities
Artist Coordination & Management
• Manage a roster of artists (singers, DJs, bands, anchors, dancers, performers, etc.)
• Act as the primary point of contact between artists and the company
• Coordinate artist availability, schedules, and performance requirements
Bookings & Negotiations
• Handle artist bookings as per event requirements
• Negotiate artist fees, performance terms, and contracts
• Ensure timely confirmations, agreements, and documentation
Artist Technical & TBL Coordination
• Collect, review, and manage artist technical riders & TBLs
• Coordinate with production, sound, light, and stage teams to ensure all technical requirements are met
• Share technical specifications, input lists, stage plots, and timelines with relevant teams
• Ensure sound checks, rehearsals, and technical setups are executed as per artist requirements
Event Execution
• Coordinate artist logistics including travel, accommodation, sound check, and rehearsal schedules
• Ensure artists reach venues on time and perform as per agreed deliverables
• Handle on-ground artist requirements and last-minute changes during events
Client Servicing & Coordination
• Understand client entertainment requirements and expectations
• Present suitable artist options aligned with the client’s budget and event concept
• Act as a liaison between clients and artists to ensure smooth communication
• Manage client feedback and ensure high levels of client satisfaction
Internal Team Coordination
• Work closely with event planners, production, operations, and logistics teams
• Share artist details, technical riders, timelines, and performance cues with internal teams
• Ensure alignment between client expectations, artist deliverables, and production execution
Artist Relations & Database Management
• Build and maintain strong relationships with artists and talent agencies
• Maintain an updated artist database with profiles, pricing, technical requirements, and availability
• Support onboarding of new artists and entertainers
Skills & Qualifications
• Bachelor’s degree in Event Management, Mass Communication, or related field (preferred)
• 3–5 years of experience in artist management, entertainment booking, or event management
• Strong negotiation, coordination, and communication skills
• Ability to multitask and work under pressure during live events
• Good understanding of entertainment industry operations and technical production basics
