Department Profile
Professionals within Legal and Compliance provide a wide range of services to our business units. They might help to structure a complex and sensitive cross-border transaction; advise on a new product introduction; develop a training program or defuse an investor dispute. They preserve the firm?s invaluable reputation for integrity and protect the firm from sanctions with policies and procedures that meet regulatory requirements around the world. They also strive to maintain cooperative relationships with governmental policy makers and the regulatory and self-regulatory agencies that govern the firm’s businesses
The successful candidate will actively assist in executing in-depth Offshored Compliance Quality Assurance (QA).
This role will locally report into the COO and Head Quality Assurance.
Background on the Team
Legal Compliance CoE is an extended arm of different global Compliance teams and is responsible for performing following functions for all regions:
Anti-Corruption Group (ACG)
Monitor employee reimbursement of gift and entertainment expenses related to Clients Government officials.
Control Group
Monitor Firm trades and Employee trades in securities present on the Restricted Lists.
Employee Trading and Investing Activities
Manage Outside Business Interests (brokerage accounts, private investments, and business activities) for employees;
Ensure Morgan Stanley Employee Trading and Investing policies are understood and adhered by employees; and
Monitor for breaches to certain employee trading activities.
Investment Management Sales and Trading Monitoring
Perform an independent oversight by monitoring Compliance reports that look for breaches to internal policies and/or regulatory requirements by Fund Managers or traders. The examples of patterns captured by the reports are
Multi-asset funds asset allocation monitoring; and
Trading in newly listed securities where Morgan Stanley has acted as underwriter during the IPO.
LCD Admin Operations
Monitor and ensure timely closure of transfer and periodic entitlement reviews for US, EMEA and APAC employees; and
Support administrative and operational activities for Outside Counsel Management, manage On-boarding process and resolve invoice payment exceptions for law firms who provide legal services in collaboration with Accounts Payable team.
LCD COE Quality Assurance
Ensure the offshored functions are performed as per the agreed procedures to facilitate a harmonized approach to the delivery and maintenance of quality and compliance.
Legal Cosec
Litigation support for Americas ISG WM Intake teams; and Global support for CoSec activities.
Metrics Analytics
Create visual display of quantitative information used for decision making and analysis; and
Create automated reports and graphs containing descriptive, predictive, and prescriptive results.
Research Monitoring
Verify that appropriate disclosures are made by the Research analysts in the reports they publish. Some of such disclosures are:
Firm’s revenue disclosure; and Personal investment interests disclosure of the research analyst.
Registrations
Assist the global team to support Licensing and Registrations for employee and exchange
Sales and Trading Monitoring
Perform an independent oversight by monitoring Compliance reports that look for breaches to internal policies and/or regulatory requirements by traders or institutional clients. The examples of patterns captured by the reports are:
Firm trader front running a client order; and
Marking the closing price.
Extract trading data for regulatory inquiries.
Surveillance Tuning
Help calibrate the existing scenarios of surveillance models by performing impact analysis of parameter changes; and
Responsible for performing analysis and recommending the optimal user configured parameters for new trade surveillance scenarios.
Testing
Perform periodic desk reviews (Registrations, AML KYC checks, etc.).
Wealth Management Sales and Trading Monitoring
Perform an independent oversight by monitoring Compliance reports that look for breaches to internal policies and/or regulatory requirements by Financial Advisors. The examples of patterns captured by the reports are:
Giving client the priority in case of price conflicts;
Primary Responsibilities
• Exclusive control of business schedule and diary management. Maintain calendars for Director / Team, arrange internal and external meetings. Pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds
• Extensive verbal and written interaction with external clients and internal colleagues
• Arrange all conference calls, rooms, AV equipment, dial in numbers and video conference facilities, both internal and external
• Co-ordinate and book all travel including flights, hotels, currency, taxis etc within the Firmwide Expense Policy
• Ensure relevant agendas and itineraries are organised in advance for visiting MDs/Directors from other locations as well as provide admin support in terms of hotels, workspace, office access, etc.
• Process monthly expenses in a timely manner for the Reporting Manager as well as Team. Ensure these are processed quickly and efficiently and are within Firmwide policy. Pro-actively ensure these flow through the internal checking system
• Printing and collating all meeting documentation as required
• Provide admin support for any ad hoc team projects e.g. offsites, onsites, town halls, social events, etc and coordinating with relevant teams / support team for logistics
• Taking complete responsibility for onboarding of New Hirers in the team and coordinate with HR, IT and other teams for their account creation, desk, PC setup and other admin support required
• Updating of Space Management system of workspace in the system
• Keep a track of Visitors and updating the Corporate Services team of their travel dates
• Provide secretarial assistance to officers outside of designated group when other member of the buddy group is out of the office due to sickness or holiday
• Build good working relationships with other Assistants both Domestically and Internationally within the team and within other business units

• Experience Required
• Prior administrative or related experience, minimum 5 years.
