Business Overview:
The BIRO (Business Information and Records Office) role is the global CB 'Business Champion' in embedding Records Management Principles in the division. This role is placed in the CB Divisional Control Office (DCO) and is accountable for managing the Records Management risk profile against the set risk appetite. Records Management is a key enabler to ensure regulatory compliance, cost efficiency and avoidance, and drive growth through information insights. The BIRO role is accountable for oversight and proper implementation of the Records Management Framework within CB across the entire information lifecycle, spanning records creation, retention, retrieval, and deletion. The BIRO is responsible for translating the policy requirements into practical and implementable procedures for the business across more than 600 applications, 51 countries. The BIRO also ensures the CB business areas globally are compliant with requirements of key business records such as those pertaining to Client, Trade, Risk management and Personal Data. The latter is The General Data Protection Regulation (GDPR) introduced a new legal framework for the protection of personal data in the EU and non-compliance carries fines of up to 4% of worldwide turnover.

Key Responsibilities:
The BIRO is accountable for proper implementation of the Records Management policy within the division. As such the BIRO:
• Understands the group RM Policy requirements and liaises with the Risk Type Controllers (RTC) for risks pertaining to each record class
• Translates policy requirements into CB procedures and defines the RM framework for the division
• Ensures that all stakeholders are made aware about the requirements and their R&R in fulfilment of the same
• Designs adequate controls across the CB businesses and Infra functions to ensure adherence to RM framework and helps with their implementation
• Tracks functioning of the controls through appropriate workflow, KRIs and metrics
• Sets up and runs appropriate Governance forums to ensure all key KRIs are being tracked and controlled and issues (if any) are properly addressed and resolved
• Liaises with COO to ensure complete coverage of and appropriately manage records related to Voice and Electronic communications
• Responsible for ensuring adherence to all the GDPR requirements for Personal Data including
• Maintenance of the Privacy Notice including availability of the most current version and submission to new clients
• Handling and logging of Data Subject Right requests and related queries from internal staff until resolution
