Chiropractic Assistant / Office Manager
Job Description
Role Summary
This role supports the daily administrative operations of a growing chiropractic clinic, with a focus on, but not limited to, scheduling, patient communication, paperwork organization, and space prep during the grand opening period. This position is non-clinical and designed to reduce administrative load so the doctor can focus on patient care.
Core Responsibilities
Patient Communication
Answer incoming phone calls, texts, and messages promptly and professionally
Schedule new patients and reschedule existing appointments
Confirm upcoming appointments (same day / next day confirmations)
Communicate basic clinic information (hours, location, intake process)
Scheduling & Retention Support
Ensure patients are scheduled appropriately according to clinic guidelines
Encourage patients to schedule follow-up visits before leaving the schedule
Identify gaps in the schedule and assist with filling them
Flag unscheduled or inactive patients for follow-up
Intake & Paperwork Management
Print, organize, and maintain patient intake forms and paperwork
Ensure forms are properly stocked, accessible, and filed appropriately
Prepare folders or binders for upcoming patients
Track and follow up on incomplete or missing forms
Upload or organize basic documents in the EHR (if applicable)
Space & Office Organization
Maintain a neat and functional clinic environment, especially the front desk and intake area
Assist with setup for grand opening and daily operations (folders, signage, supplies)
Ensure the workspace is ready for patients and team members each day
Front Desk / Clinic Flow Support
Greet patients warmly and professionally
Assist with check-in/check-out processes
Maintain a calm, welcoming front desk presence during busy periods
Support grand opening day flow as needed
What This Role Does NOT Include
No clinical duties
No patient examinations or therapies
No billing, coding, or insurance verification
No care plan discussions or financial consultations
Skills & QualificationsRequired
Strong communication skills (phone, text, email)
Comfortable with scheduling systems or EHRs
Organized, reliable, and detail-oriented
Able to follow clear instructions and checklists
Comfortable preparing and organizing physical paperwork and office supplies
Preferred (not required)
Experience in a medical, chiropractic, or healthcare office
Familiarity with patient scheduling or front desk operations
Comfort working independently with minimal supervision

Pay: $18.00 per hour
