Job Description
Position Overview: We are seeking a highly organised and detail-oriented Administrative officer to join our team. The successful candidate will play a crucial role in supporting the day-to-day operations of our organisation, ensuring smooth administrative processes and efficient communication.
Responsibilities:
Provide administrative support to the management team, including scheduling meetings, managing calendars, and handling correspondence.
Maintain accurate records and databases, including client information, program data, and financial records.
Assist with the preparation of reports, presentations, and other documents as needed.
Manage financial transactions, including invoicing, payments, and reconciliations, in accordance with organisational policies and procedures.
Coordinate logistics for events, workshops, and training sessions, including venue bookings, catering, and participant registrations.
Manage office supplies and equipment, and liaise with vendors as necessary.
Act as a point of contact for clients, visitors, and stakeholders, providing excellent customer service and directing inquiries to the appropriate staff members.
Assist with special projects and initiatives as assigned by management.
Qualifications and Experience:
Proven experience in an administrative role, preferably in a social services or community organisation.
Strong organisational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
Excellent communication skills, both verbal and written, with a high level of attention to detail.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with database management systems.
Cultural competency and sensitivity to the needs of Aboriginal communities.
Ability to work collaboratively as part of a diverse team, as well as independently with minimal supervision.
Commitment to upholding confidentiality and maintaining ethical standards in all aspects of work.
