We are seeking a professional, energetic, and highly organized Bilingual Receptionist (English/Spanish) to serve as the first point of contact for our clients and visitors. This role is essential in creating an exceptional client experience while supporting the daily operations of our growing law firm.

What You'll Do
Front Desk & Client Experience
Welcome and assist clients, visitors, and prospective clients with professionalism and courtesy.
Maintain a clean, organized, and welcoming reception area and conference rooms.
Deliver outstanding customer service and represent the firm positively at all times.
Call Handling & Lead Management
Answer and manage a high-volume, multi-line phone system.
Route calls and inquiries to the appropriate team members.
Assist with intake calls and gather key client information.
Monitor and respond promptly to calls, texts, emails, and online lead sources.
Scheduling & Calendar Management
Schedule consultations and confirm appointments.
Manage and monitor office calendars to prevent scheduling conflicts.
Coordinate conference room reservations and Zoom meetings.
Client Intake & Support
Prepare client intake packets and supporting documents.
Coordinate rideshare transportation for clients when needed.
Track transportation costs and upload receipts.
Assist with client appreciation and promotional item distribution.
Coordinate client surveys, review requests, and follow-up communications.
Mail, Shipping & Document Management
Process incoming and outgoing mail, certified mail, deliveries, and FedEx shipments.
Scan, save, organize, and upload documents accurately.
Manage e-fax communications and document distribution.
Maintain digital filing systems and ensure proper document organization.
Administrative Support
Assist with data entry, filing, scanning, and document preparation.
Support reporting and file management processes.
Archive closed files and maintain accurate records.
Coordinate staff lunch orders and other office support tasks.
Submit monthly equipment meter readings and assist with office operations.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Qualifications
Required
High school diploma or equivalent.
Bilingual in English and Spanish (required).
Excellent customer service and interpersonal skills.
Strong verbal and written communication abilities.
Exceptional organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Professionalism, discretion, and commitment to confidentiality.
Strong computer and database proficiency.
Preferred
1+ year of administrative, receptionist, or customer service experience.
Experience working with multi-line phone systems.
Proficiency in Microsoft Office (Outlook, Word, Excel).
Experience with Filevine or similar legal case management software.

Position Type/Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Salary: $15 - $17, depends on experience (DOE)
