Position Overview
The Administrative Coordinator – Student Support Operations plays a pivotal role in ensuring the smooth functioning of student services and administrative operations at DSI and its affiliated brands. You will support learners throughout their journey, manage registrations, track certifications, handle communications, and provide general operational support. We’re looking for someone who is detail-oriented, tech-savvy, and dedicated to providing excellent support in an educational and mission-driven environment.
Key Responsibilities
Student Support Communications:
Respond promptly (same day) to student and general inquiries via multiple inboxes and provide clear, friendly guidance.
Triage messages to the appropriate team member and flag any transactions for follow-up.
Provide warm, professional communication and timely follow-ups, ensuring every student feels supported.
Enrollment Records Management:
Process student registrations and maintain accurate records.
Update and organize student information in internal systems.
Certification Graduation:
Assist with certificate creation and distribution.
Track student progress and help manage recertification reminders.
Event Training Support:
Help coordinate virtual and in-person training sessions or webinars.
Prepare simple attendance records or follow-up materials.
Scholarship Financial Administration:
Assist with basic scholarship application processes and track approvals.
Support simple financial tasks such as issuing discount codes or basic data entry.
Support payroll coordination
Enter weekly sales and expense data into QuickBooks from various payment processors.
Process receipts, issue invoices, and manage refunds.
Team Collaboration Projects:
Participate in regular team meetings.
Assist with special administrative projects as needed.
What You Bring
5-7+ years of experience in administration, student services, or operations (or equivalent skills).
Exceptional attention to detail and strong time management abilities.
Excellent written communication and customer service skills; ability to maintain a warm, professional email presence.
Proficiency with Google Workspace (Sheets, Drive, Docs), spreadsheets, Canva, and WooCommerce.
Basic financial literacy or willingness to learn financial tasks (e.g., data entry, tracking expenses).
Demonstrated ability to learn new systems and processes quickly.
Experience or willingness to learn platforms such as FreshLearn (LMS), ConvertKit, Trello and QuickBooks.
Ability to manage multiple priorities independently in a fully remote environment.
High level of discretion handling confidential student and financial information.
Proactive attitude, able to juggle multiple priorities.

Pay: $45,000.00-$58,000.00 per year
