- Position is 100% remote
- Must be located in or able to regularly access Peterborough, ON area for physical document drop-off
- Occasional in-person document handling required - we do the travelling
- In person initial training session at a mutually agreed upon location in Peterborough
**About the Role:**
We're seeking a detail-oriented Administrative Assistant to join our growing virtual firm. This role will support our team in delivering exceptional service to small business owners while maintaining efficient internal operations.
**Key Responsibilities:**
- Manage email communications and correspondence
- Handle document organization and filing systems, including physical-to-digital conversion
- Data entry in Quickbooks and Excel
- Coordinate schedules and calendar management
- Process and organize client documentation (both physical and digital)
- Assist with basic bookkeeping tasks and data entry
- Support project coordination and deadline tracking
- Help maintain standard operating procedures (SOPs)
- Manage secure handling of physical client documents
**Required Qualifications:**
- Located in or able to regularly access Peterborough, ON area - this is a 100% remote position, but we need to be able to drop off physical documents to you once per month.
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Proficiency in Google Workspace and basic tech tools
- Outstanding written and verbal communication abilities
- Self-motivated with ability to work independently
- Experience with remote work environment
**Preferred Qualifications:**
- Previous administrative or virtual assistance experience
- Familiarity with QuickBooks Online is an asset
- Experience with Asana or similar project management tools
- Background in supporting small businesses
- Experience with document digitization and organization
