Overview
We are seeking a highly organized and detail-oriented virtual Administrative Assistant to join our Pediatric Therapy team, Embrace the Rain (www.embracetherain.ca). This role is essential for ensuring smooth operations of our rapidly expanding, nature and community-based, pediatric therapy practice, by providing administrative support to the team and enhancing overall efficiency. The ideal candidate will possess strong administrative skills, a customer-focused mindset, and the ability to manage multiple tasks effectively.
Duties
Flexible work hours with 2-3 hours maximum per day.
Must be available Monday through Friday, and promptly respond to urgent scheduling communications with clients and the therapist team.
Manage phone calls and emails with professionalism.
Perform data entry tasks accurately and efficiently, maintaining organized records.
Assist with virtual filing and document management to ensure easy access to important information.
Provide administrative support to team members as needed, including scheduling meetings and managing calendars.
Handle customer support inquiries, addressing concerns and providing solutions in a timely manner.
Collaborate with team members to facilitate communication and project completion.
Open to occasional in-person work for special events at our Aldergrove location.
Requirements
Proven experience in an administrative role or as an office clerk is preferred.
Proficiency in computer skills, including Microsoft Office Suite and Canva.
Strong organizational skills with the ability to prioritize tasks effectively.
Attention to detail for data entry tasks.
Strong interpersonal skills with a focus on customer support and communication.
Ability to work independently.
A proactive approach to problem-solving with strong decision-making capabilities.
Additional Assets:
Knowledge of Autism Spectrum Disorder and Autism Funding in British Columbia.
Knowledge of Occupational Therapy
