Administration Assistant
Job Description
Working hours:
Monday - Friday: 09:00 til 17:00
Duties:
- Working on internal systems to allocate jobs to engineers and cleaners.
- Scheduling jobs with clients to ensure access is available
- Perform general admin duties, including data entry, photocopying, scanning, and filing.
- Manage and maintain office supplies and inventory.
- Answer phone calls, take messages, and direct inquiries to the appropriate person.
- Schedule appointments and maintain calendars for staff members.
- Prepare and distribute correspondence, memos, and other documents.
- Assist with organizing and coordinating meetings, conferences, and events.
- Maintain electronic and physical records in an organized manner.
- Assist with basic HR tasks, such as onboarding new employees and maintaining employee records.
- Provide administrative support to the management team as needed.
Requirements:
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Attention to detail and accuracy in data entry and record keeping.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Previous experience in an administrative or clerical role is preferred.
