Position: Administrator

Experience: 3+ Years

Shift Timing: 12:30 PM to 0+:30 PM IST / 01:30 PM to 10:30 PM IST

Location: Ahmedabad

Responsibilities:
• Utilise various software packages, including Word, Excel, Xero, and Simpro, for data management.
• Log and maintain records such as timesheets, expenses, and asset management updates.
• Process purchase and sales ledgers and manage credit control.
• Conduct bank reconciliations and ensure accurate financial records.
• Send out invoices to customers and handle internal invoicing.
• Renew insurance policies and ensure staff training and health safety records.
• Act as the first point of contact for engineers and customers, addressing inquiries via telephone and email.
• Acknowledge customer inquiries and follow up on annual asset reminders.
• Purchase and maintain equipment and supplies as authorised by management.
• Identify and source correct parts for jobs and request quotes for required materials.
• Log quotes and jobs into Simpro, including creating leads, managing assets, booking stock, and engineers.
• Send out gas certifications and write job reports based on engineer feedback.
• Distribute job reports to clients and internal stakeholders.
• Log engineer reports, manage engineer scheduling, and handle job assignments.
• Handle annual leave requests and manage administrative approvals.
• Maintain a proactive approach to updating, deleting, and editing asset records.
• Continuously monitor and update system logs for certifications, maintenance, and compliance.
