Part Time working 16 hours per week - Monday to Thursday 4pm-8pm

About the role

We are seeking a proactive and organised Ward Clerk to join our dedicated team. In this important role, you will support the ward - s interdisciplinary team to deliver high-quality patient care and ensure the efficient operation of the ward through accurate clerical and administrative support.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

Key Responsibilities

Clerical and Administrative Support

Provide general clerical support to the ward team to a high standard
Maintain accurate and up-to-date patient files and records
Manage incoming and outgoing documentation and communications efficiently
Respond to information requests within agreed timeframes
Arrange appointments and ensure ward documentation standards are met
Reception and Communication

Provide a friendly and professional reception service for the ward
Handle all telephone and in-person enquiries appropriately and respectfully
Act as a key communication link within the ward, ensuring timely and clear information sharing
Maintain high standards of written and verbal communication
Treat staff, patients, and visitors with courtesy and professionalism
Admissions, Discharges and Data Management

Accurately process documentation for patient admissions, discharges, and deaths
Ensure all documents are stored securely and in accordance with medical records standards
Update patient and staffing information in relevant computer systems
Generate reports and complete routine typing tasks with accuracy
Liaise with the IT help desk as needed for system issues
Quality and Continuous Improvement

Participate in ward quality initiatives and improvement programmes
Observe and report unsafe work methods or potential risks
Engage in learning and development opportunities
Seek feedback and contribute positively to team culture
About You

Essential Requirements

Experience with ward processing and Windows-based systems
Competence in English at a satisfactory School Certificate level or equivalent
Word processing, reception, or office administration experience
Excellent communication skills, both written and verbal
Ability to work as part of a team and remain calm under pressure
Strong organisational skills and attention to detail
Flexible and able to manage multiple tasks effectively
Desirable

Previous experience in a healthcare or hospital environment
Working at Health New Zealand
