BRIEF DESCRIPTION:
The Student Records Coordinator is responsible for the management of student permanent records, past and present, of all students enrolled in Fuller Seminary classes of any kind. This includes extensive data management and maintenance, as well as the management of physical and digital files, transcript fulfillment processes, and updates to student records.

Responsibilities:

Manage physical and digital access to the Seminary’s collection of student record files by authorized offices, faculty, administrators, students, and alumni
Manage customer service functions of the Registrar’s Office regarding student records
Manage student, alumni, and faculty address information update requests
Maintain compliance with FERPA law in connection with requests for access to student records by any and all parties
Oversee the validation and fulfillment processes for all requests for official transcripts and records from students, institutional officers, and approved third parties
Coordinate the collection and recording of all grades and grade changes for Fuller Seminary students
Administer final review and recording of student record amendments including final grades and grade changes, program change requests, official withdrawals, transfer credit, and advanced standing awards.
Oversee the transfer of admission files of matriculated students from the Admissions Office and the set-up of permanent digital student records
Maintain the organization of the physical file room in the Registrar’s Office containing legacy paper student files
As a member of the Registrar’s Office, provide students, faculty members, and the public with guidance regarding Seminary academic policies and regulations
Interface with various campus office staff regarding student record, technological, and policy issues
Partner with other members of the Registrar team and across the Seminary as needed to deliver the highest level of service
Assist with Commencement-related projects as needed
Perform other duties as assigned

Ability to perform complex tasks with high attention to detail
Knowledge of FERPA and higher education best practices

Education and Experience:


Bachelor's degree or equivalent (required)

Experience in student records/higher education enrollment management (preferred)
Experience with Banner Student Information System (preferred)
Functional fluency with Microsoft Office and/or Google Suite tools (Word/Docs, Excel/Sheets, Email, Drive) (required)
Bilingual Korean and/or Spanish (preferred)
Knowledge of Ellucian Degree Works (preferred)
Knowledge of Banner Document Management (preferred)

Pay Scale:

Hourly rate the seminary expects to pay: $22.00 - $25.00 per hour USD
