Overview
The Registrar is primarily responsible for managing the registration process for players, coaches, and teams for Thurston County United (TC United). This includes ensuring that all registrations are accurate, up-to-date, and compliant with governing body regulations. The Registrar will work closely with the TC United leadership and coaches to ensure smooth operations and excellent customer service.
Player registration and fees responsibilities:
Build and manage GotSport “programs” for tryouts and other club events
Manage player registration form in GotSport system
Register players into GotSport system (entry and releases)
Review registration of players for birth certificates and photos, follow up families with missing or inaccurate files.
Ensure players are issued player cards with US Club
Support players with account troubleshooting
Review player payments and accounts, manage discounts, proration, and defaults
Maintain accurate and up-to-date records
Work with Chinqually Financial Manager with payment process
Team registration responsibilities:
Register and manage teams into the various Washington Premier League seasons
Register teams for tournaments and supply rosters
Manage financial aid applications and process responsibilities:
Manage financial aid application
Enter application information into database
Apply aid to player accounts and inform applicants
Customer service responsibilities:
Provide excellent customer service, responding to inquiries and resolving issues in a timely and professional manner. Including answering stakeholder queries about their accounts
Maintain confidentiality and handle sensitive information with discretion
Collaborate with the TC United leadership to ensure seamless operations and effective communication
Perform other administrative tasks as assigned by the TC United President and Director of Coaching, including tryouts.
Attend weekly TC United leadership meetings and monthly Chinqually board meetings
Qualifications:
Experience working in an administrative setting is preferred.
Initiative taker, with excellent communication and administrative skills.
Highly organized with the ability to manage multiple projects simultaneously.
Proficiency in Microsoft Office Suite, Google drive, or similar applications.
