Job Description Summary
We are seeking a personable, energetic, and motivated professional to join our Operations Team as a Junior Portfolio Manager. Reporting directly to the Vice President of Operations, the Junior Portfolio Manager will be responsible for the daily oversight and management of a designated portfolio of properties. This role includes supervising team members, coordinating daily activities, and allocating resources to meet established financial and operational objectives. Additionally, the Junior Portfolio Manager will ensure all property operations comply with Company policies as well as relevant laws and regulations, including Fair Housing, the Americans with Disabilities Act (ADA), the Fair Credit Reporting Act (FCRA), and other governing statutes related to multi-family housing.
Key Responsibilities
· Property Operations: Oversee the efficient management of over 450+ units across 30+ properties, ensuring full compliance with company policies and fair housing regulations.
· Financial Oversight: Manage rent collection, prepare and issue notices, and ensure timely processing and approval of invoices.
· Resident Relations: Provide exceptional customer service, promptly address resident concerns, and enforce lease terms effectively.
· Maintenance Coordination: Supervise unit turnover activities, monitor work order assignments and scheduling, and collaborate with renovation teams to ensure units are delivered on time and within budget.
· Vendor and Budget Management: Cultivate vendor relationships to obtain competitive pricing, track capital expenditures, and oversee renovation projects.
· Leasing: Lead and manage leasing agents through the full leasing process, ensuring seamless operations and successful tenant onboarding.
Duties
Oversee the daily operations and maintenance of a property portfolio comprising approximately 450 units across 30+ properties.
Assist with due diligence for acquisitions, dispositions, audit reports, and portfolio reviews.
Assist with the implementation of new company policies, practices, strategies, and operational improvements.
Conduct regular property audits to ensure compliance with company standards for maintenance and operation.
Coordinate necessary maintenance activities in collaboration with the assigned Maintenance Technician and Supervisor.
Delegate tasks to onsite property managers and ensure timely completion of administrative responsibilities.
Demonstrate a strong work ethic characterized by dependability, flexibility, teamwork, and a proactive approach.
Ensure all properties comply with federal, state, and local fair housing laws, regulations, and best practices.
Follow up on past-due accounts, initiate appropriate collection procedures, and resolve payment discrepancies or inquiries.
Lead initiatives to enhance operational and logistical efficiencies across the portfolio.
Liaise with external agencies, including Housing Authorities, to address and resolve concerns.
Maintain up-to-date monthly delinquency reports, renewal trackers, and rent increase statuses.
Manage the collection of rents, late fees, utility charges, and other applicable fees.
Monitor accounting related to vacancies, rent adjustments, delinquencies, and lease renewals.
Oversee eviction processes and other legal matters as necessary.
Provide direct support to the operations team regarding AppFolio software inquiries.
Respond promptly and professionally to all resident requests and complaints, ensuring efficient resolution.
Support audit reviews by identifying potential corrections, adjustments, credits, or charge reversals.

Qualifications
Candidates should have 2+ years of experience managing multi-family rental properties with 250+ units (multi-site experience preferred), proficiency with AppFolio and Microsoft Office, and possess a valid driver’s license, reliable transportation, and the ability to pass background and employment checks. This position offers a standard 40-hour workweek with flexibility for after-hours or emergency calls, with duties that may adapt to meet evolving business needs.
This position requires the ability to perform a variety of physical tasks, including standing, walking, and/or sitting for extended periods, bending, stooping, climbing ladders, reaching, carrying objects, and working in confined spaces. Candidates must be comfortable working both indoors and outdoors in all weather conditions and be able to push, pull, lift, carry, or maneuver up to twenty-five (25) pounds independently and up to fifty (50) pounds with assistance.
Occasional or regular travel may be required to support other properties, attend training sessions, participate in business meetings, or fulfill other role-related responsibilities. The position also requires a flexible work schedule, which may include evenings, weekends, holidays, and participation in an on-call rotation.
