Full job description
Purpose of this position:

Big Way Hot Pot is undergoing rapid expansion, with active operations across British Columbia, Ontario, and Los Angeles. We are seeking a highly capable and driven Office Administrative Assistant to help ensure the effective execution of cross-functional initiatives and operational consistency across all stores.

This role is critical to supporting the company in tracking progress on key strategic tasks, improving cross-departmental coordination, and ensuring timely and accurate implementation of company policies and programs at all locations.

Key Responsibilities:

· Provide general administrative support, including filing, data entry, and document management.

· Answer and direct phone calls, emails, and other correspondence.

· Support pre-opening preparations for new store launches, including setting up utilities and government accounts.

· Manage and coordinate insurance documentation and renewals for both new and existing store locations.

· Assist in organizing and updating the company Wiki to ensure all documentation is accurate, up-to-date, and easily accessible.

· Schedule and coordinate meetings, appointments, and travel arrangements.

· Assist with preparing reports, presentations, and spreadsheets.

· Assist in organizing company events or meetings.

· Perform other duties as assigned by management.

Qualifications:

l Bachelor’s degree in Business, Operations Management, or a related field.

l 1+ years of experience supporting senior executives or in a project coordination role.

l Excellent organizational, multitasking, and problem-solving skills.

l Strong communication and interpersonal skills.

l Fluent in English (Mandarin is an asset).

l Proficiency in Microsoft Office, Google Workspace, and project tracking tools (e.g., Trello, Asana).

l Ability to travel occasionally to support store visits or regional meetings.

Nice to Have (Optional):

· Experience with office management software (e.g., QuickBooks, SharePoint).

· Basic accounting or bookkeeping knowledge.

Job Type: Full-time

Pay: $3,200.00-$3,500.00 per month
