Live Event Operations and Venue Coordinator
Job Title: Live Event Operations and Venue Coordinator (Full Time - Remote)
Job Responsibilities:
• Venue Coordination:
• Communicate with auditoriums and event venues to check availability.
• Align and finalize dates for the artist’s tour and secure venue contracts.
• Maintain accurate documentation and ensure timely follow-ups for venue agreements.
2.Audio-Visual (AV) Coordination:
• Communicate with venues to confirm AV requirements based on show specifications (microphones, lighting, sound systems, etc.).
• Coordinate with venue staff or external AV vendors to ensure technical requirements are met.
• Address and resolve any AV-related concerns before the event day.
3.Sponsor Coordination:
• Liaise with event sponsors to collect branding assets and promotional materials.
• Pass assets to the graphics team for development and ensure timely revisions.
• Share finalized assets with sponsors for approval and track feedback efficiently.
4.Client and Stakeholder Communication:
• Communicate with clients, sponsors, and vendors effectively via email and phone.
• Provide regular updates on project timelines, deliverables, and revisions.
5.Operational Support:
• Collaborate with the graphics and production teams to ensure timely delivery of promotional materials.
• Assist in troubleshooting last-minute changes or issues to ensure smooth event execution.
6.Time Zone and Cultural Flexibility:
• Work in alignment with Eastern Standard Time (EST) to manage North American clients and events.
• Communicate fluently in English and effectively in Hindi and Gujarati as needed.
Required Skills and Qualifications:
• Education: Bachelor’s or Master’s degree in Event Management, Communication, Business Administration, or a related field is an asset but not needed.
• Language Skills: Exceptional English communication skills (verbal and written), fluency in Hindi and Gujarati.
• Technical Knowledge: Understanding of AV requirements for live events, including microphones, lighting, sound systems, and video equipment.
• Experience:
• Previous experience in event management, venue coordination, or AV logistics is a plus.
• Experience working with American or North American clientele is an asset.
• Software Proficiency: Comfortable using Microsoft Office, Google Workspace, and project management tools.
• Organizational Skills: Strong multitasking, problem-solving, and detail-oriented abilities.
