Legal and Administrative Assistant – Corporate Law

We are currently seeking a Legal and Administrative Assistant. The ideal candidate will have experience in corporate and commercial law environment to support our growing practice. This is a 1-year full-time contract position to cover a maternity leave, with potential for extension depending on firm needs.
Position Summary
As a Legal and Administrative Assistant at EnerNext, you will provide direct support to lawyers on a broad range of corporate law matters, including incorporations, reorganizations, shareholder agreements, minute book maintenance and transactional work. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced, modern legal environment.
Key Responsibilities
Prepare, format and manage legal documents and correspondence related to incorporations, annual returns, corporate changes, share transactions and commercial agreements
Maintain corporate minute books and legal records (physical and digital) in accordance with legal and regulatory requirements
Assist with file organization, document management, client onboarding and due diligence processes
Manage calendars, coordinate meetings and assist with general office administration
Liaise with clients, registry agents, government offices and service providers as needed
Support lawyers with transaction closings, signature packages, and document filing
Assist with the general administrative needs of the firm.
Qualifications
Ideal candidate will have experience as a legal assistant in a corporate or business law practice
Legal Assistant Diploma or equivalent education preferred
Understanding of corporate structures, legal procedures and document preparation preferred
Proficiency with Microsoft Office and cloud-based legal tools (e.g. DocuSign, Adobe, CosmoLex)
Excellent attention to detail, organizational skills and time management
Strong written and verbal communication skills
Ability to work independently while collaborating in a small team setting
